Challenge yourself, your peers and our industry by shaping what health care looks like and doing your life's best work.(sm) The Executive Assistant will support the CIO, UnitedHealthcare in traditional administrative / clerical tasks including: answering the telephone, typing / word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance. This position may also include some project management. Primary Responsibilities:Provides administrative support to assigned leader. Plans, schedules, and organizes key meetings, travel, and conferences for the executive and their leadership teamsDeals with all incoming calls and inquires, and answers questions, or directs to the appropriate person or function within the business to resolveHandles calendar management for assigned leader(s). Understands key business priorities and proactively ensures that calendar schedules are reviewed daily and that conflicts are resolved in a timely mannerWorks collaboratively with the administrative staff across the organization to ensure that deadlines for key deliverables are communicated on a consistent basisHandles confidential and sensitive information, resolves routine questions, and escalates issues to the appropriate member of the Executive team in a timely mannerPrepare presentations using Excel and advanced Powerpoint featuresEvent planning and preparation for internal and external presentations-logistics, content, prep and coordination Manage e-mails and expense reporting Self-directed and works independentlyProvide internal and external customer service to employees, vendors and clientsUpdating and maintaining the department files and shared drivesMaintain department reports, organization charts, software licenses and directories, as appropriatePerforms additional duties and assist with projects as assignedActs as a BSL liaison as needed. Ensures equipment (PC, phone systems access) are ordered. Orders office supplies are ordered are maintained for the departments supported
Required Qualifications: High School Diploma or equivalent 5+ years of administrative support to senior leadership in a corporate setting Intermediate or greater level of MS Word, Excel, Outlook and PowerPoint proficiency Experience working in a fast-paced, matrix organizationPreferred Qualifications: Bachelor's or Associates' degree Intermediate or greater level of proficiency with MS SharePointExperience with Concur Expense ReportingStrong Event Coordination expertiseBusiness Segment Liaison (BSL) or onboarding experience (or willingness / ability to become certified as a UnitedHealthcare BSL) Must have a polished demeanor and ability to work with people at all levels Ability to provide high quality, consistent services to the various leaders within the department Ability to manage multiple tasks / projects and deadlines simultaneously with meticulous attention to detail Excellent verbal and written communication and grammatical skills Careers with UnitedHealthcare.
