The Arts Advocacy & Program Assistant is a part-time, temporary position focused on making Illinois’ participation in National Arts Advocacy Day (NAAD) a success. Organized nationally by Americans for the Arts, NAAD brings arts advocates from across the country to Washington, DC to meet with elected officials and voice the value of the arts. This year’s NAAD will occur March 12-13, 2018, and as in years past, Arts Alliance Illinois is leading the team of Illinois participants.
Working in the Alliance’s office (Chicago, IL), the Arts Advocacy & Program Assistant will coordinate the logistics of the Illinois Team – before, during, and briefly after the event – to ensure Illinois’ participation goes smoothly. This administrative work will support recruitment, training, and event participation and include, but not be limited to, coordinating the dissemination of information, scheduling meetings, and preparing documents. The Arts Advocacy & Program Assistant will report to the Alliance’s Policy & Research Director and have the opportunity to provide meaningful input into the Alliance’s approach to the advocacy day. This position may also include support for other Arts Alliance convenings and initiatives, as required.
Maintain recruitment records, e.g., contact information of individuals who have expressed interest in NAAD
Disseminate event information among Illinois Team members and keep them informed of any changes
Schedule the pre-event trainings for the Illinois Team, help prepare training materials, and take discussion notes
Assist team members, as appropriate, in overcoming logistical obstacles to their participation
Prepare and/or update advocacy day materials tailored to Illinois, e.g., arts profiles for the individual districts
Ensure that Alliance communications staff have the information they need to successfully publicize the event
Work directly with congressional offices to schedule the constituent meetings
Provide logistical support (from Chicago) during the two days of NAAD (March 12-13, 2018)
Help develop and implement a post-NAAD survey that collects feedback from participants
Provide input into how the Alliance manages and coordinates the Illinois Team
Other administrative and logistical tasks necessary for the success of the Illinois Team
Strong relational skills and the ability work effectively with diverse communities
Strict attention to detail, ability to manage multiple tasks, and ensure high quality work
Experience managing complex projects and events
Ability to work both independently and as part of a team
Results oriented, resourceful, and highly motivated
Excellent organizational and administrative skills
Strong verbal and written communication skills
Interest in the arts, culture, public policy, and advocacy
This is a part-time, temporary position, running through March 31, 2018. Pay is hourly and commensurate with experience. The Alliance will work with the successful candidate to determine the specific days of work.
