UW Medicine Human Resources Organization Development and Training has an outstanding full time opportunity for an HR Specialist.
The HR Specialist manages the administrative functions for the OD&T department associated with development and delivery of educational programs and events for Medical Centers faculty and staff including training room scheduling, training material and classroom preparation, budget reconciliation, purchasing, and payroll.
Primary support to the Director of Organization Development and Training, including but not limited to planning meetings and events, managing electronic calendars, communication with executive leaders as well as, on occasion, all faculty and staff throughout UW Medicine.
Assists with satisfying legal and regulatory requirements such as Department of Health Surveys and Joint Commission standards.
Primary administrative oversight for the logistical aspects of programs and projects operating under the Director's purview, in order to provide effective administrative support to the programs and events sponsored by OD&T.
Deliver excellent customer service when responding to phone calls, email inquiries and visits from faculty and staff throughout UW Medicine.
Oversight for purchase and maintenance of equipment associated with delivery of educational programs and events including computers, projectors, video equipment. Ensure the security and tracking of equipment, monitoring movement between 3-6 educational delivery sites.
Trouble shooting equipment failures as needed, responding in a timely manner.
Materials inventory; Tracking par levels of commonly used materials for organization-wide events and educational programs, updating and reordering as needed.
Administrative support for OD Consultants, Systems Specialist and Orientation Specialist.
Register participants for classes; print rosters; assist with training room set up, enter evaluation feedback, and assist with preparing course material.
Participate on internal and external committees and workgroups.
Manage mail, forms, correspondence, and office supplies for the department.
Bachelor's degree and 2-3 years experience in office management and/or business operations; demonstrable proficiency in standard software packages including Outlook, Word and Excel.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
The desired candidate will possesses superior organizational skills and a desire to improve processes.
S/he will be thorough and attentive to detail; precise and efficient; highly productive; able to meet deadlines and manage multiple, complex projects.
The ability to remain calm under pressure while working in an environment where multiple projects, events, and deadlines are part of the daily routine.
The ability to make independent judgments and take action with limited direction, while also working in a very collaborative manner with all members of the Organization Development and Training team, as well as with customers and internal stakeholders.
Poise and professional composure, exceptional customer service, excellent communication skills, and problem solving strategies highly desired.
CONDITIONS OF EMPLOYMENT:
Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check.
Office located in the UW Tower. Ocassional travel between Harborview, UW Medical Center, and the UW Tower required.
Schedule may require work in excess of 8 hour days and/or 40 hour weeks.
Start time of 7am required to facilitate on site set up of training rooms.
