The Department of Medicine has an outstanding opportunity for a full-time Program Coordinator.
The Program Coordinator is the primary point of contact for students, public and visitors to the Paramedic Training Program. This position has extensive contact with program speakers, and public stakeholders such as donors and partnering public agencies. The Program Coordinator serves as the records manager (distributes/collects/monitors and archives) for student files including evaluations and attendance as well as evaluations for lecturers, ensuring records meet programmatic requirements for accreditation.
Specific Duties Include:
Coordination of Tuesday Lecture Series:
Contact and coordination of speakers for the upcoming months' presentations Develop and complete flyer, distribute to appropriate student and program audience Establish production set-up for internet broadcasting (skype, zoom) Draft thank you letters for speakers Send signed attendance rosters to partnership agencies Track attendance and ensure records are monitored and presentable for accreditation review
Create and maintain student files and records. Create regular reports for program reviews.
Maintain Data Base(s) of all students Bi-annual update of students (Access Database/ History/All Trained) Student data collection (data entry)
Medic Evaluations (3 part form)
Physician Evaluations (3 part form)
Run weekly reports on all categories
Create and maintain student files and records
File all pertinent individual papers (evals, forms, tests, etc.)
Maintain current listing of all archive inventory
Prepare student files at the end of student year for archiving
Inventory and Supply Management:
Student book and supplies ordering Research most current editions of media that are used Request quotes and possible discounts (lab jackets, textbooks, all student supplies) Submit request to Advance Marking for pocket greeters Send list of names to HMC Copy Services for tent fold place cards Office supply ordering Oversee office needs and enter Ariba orders for miscellaneous supplies as needed Coordinate orders with Department Finance Office and scan / send all pertinent order information once a month for audit of budget Office equipment maintenance:
Copier contract liaison between the SFD, UW, and various users
Contact IT services UW Managed Print as necessary
Troubleshoot printer (copier) issues; place service calls if unable to resolve problems
Maintain copier supplies
Manage and create Exit Oral' packets for students:
Verify with the Assistant Director, the items needed for the packet(s) prior to exit oral Create one packet for each student Create and provide one packet for each oral board member
Scan evaluations and forward to lecturers/instructors
Reserve rooms for meetings/courses Set up & support meetings Coordinate Graduation Luncheon for graduating students Coordinate Opening Day of paramedic training (contact invitees) Coordinate Family Orientation for incoming students Thank you letters to lecturers/instructors Reception: phones, greet visitors Assist Administrative Specialist as needed
