The National Association of Manufacturers (NAM) is seeking a Receptionist and HR Assistant. This position’s primary role is to create an exceptional experience for every guest, staff member, vendor and all others who call or come into the NAM offices. As the primary face and voice for the NAM all individuals coming into or calling the NAM offices will be warmly welcomed and afforded an awesome customer service experience. In addition to receptionist responsibilities this position plays a key role in Human Resources assisting with a variety of non-confidential duties. This position requires strong attention to detail, effective time and task management, and high proficiency with computer systems- Outlook, Excel, PowerPoint, Word, web search, and HRIS systems. Position, while handling only non-confidential information is expected to handle all projects and tasks in a responsible manner.This position provides an excellent opportunity for an individual interested in learning and working in Human Resources. Serve as the Association’s full-time receptionist from 8:00 am -5:00 pm and be first point of public contact for the NAM and its staff, members and guests.
Greet guests, staff, vendors, and others, in a warm and friendly manner, serving as the “face” of the NAM.
Assist with directing guests to conference rooms and making guests feel welcome and comfortable in the lobby area of the NAM.
Answer all incoming calls to the main telephone number promptly and transfer to appropriate person or department, taking messages, when necessary, obtaining complete information.
To the degree possible, assist callers who want information.
Actively support and embody the NAM values acting as a role model and leader in action.
Greet guests warmly and assist members and other visitors, announce to appropriate person and/or direct to proper meeting room.
Receive deliveries when the mailroom is unavailable and ensure staff is notified of the receipt of the package for pick up or ensure the mailroom delivers in a timely manner.
Handle messenger service and maintain log; handle and follow up on incoming faxes; monitor pick-up and delivery of packages and airline tickets, notifying recipients; submit work orders for facilities maintenance when necessary.
Arrange for courier services and reconcile invoices for messenger services.
Manage assigned sections of the intranet including sending new user emails, approving new users, updating the Ink Spot and events as needed.
Position also answers questions and resolves issues for users on the intranet. Position entails being proficient as a back-end administrator on the intranet platform.
Assist in other projects as assigned, such as:
Updating current employee phone list as needed;
Maintaining receptionist handbook
Updating NAM intranet (Post updates to The Ink Spot, quote of the month, adding calendar events, troubleshooting intranet issues, and other similar tasks)
All other requests for this position’s assistance outside of the Human Resources department needs advance supervisory approval.
Learn and use an HRIS system (non-confidential access only) in order to run employee lists, rosters, and reports as directed.
Participate on the Wellness and Safety Committee and serve as a member of the emergency preparedness team which includes building evacuations, maintaining emergency rosters, maintaining emergency contacts and other similar duties.
Assist in scheduling CPR training, flu shot vaccinations, and other wellness initiatives as directed by the Wellness and Safety committee co-leaders.
Regularly schedule head shot photos sessions for new employees or existing employees wishing to update their headshots with the NAM photographer. Position is expected to act as the owner of the NAM Staff Photo list on the intranet and ensure that all staff photos are obtained within a reasonable time frame, but no later than 2 months from date of hire.
Assist in ensuring an unmatched recruitment experience for all candidates interested in the NAM; Provide scheduling support during periods of high volume recruitment, assist in confirming interviews and collecting interview feedback as needed.
Assist in ensuring an exceptional onboarding experience for all new hires ensuring key card is available on arrival, onboarding schedule is prepared, conference room is booked, key personnel are notified of their time to meet and present to the new employee, and that the PowerPoint presentation is fully updated.
Maintain an up-to-date and accurate employee phone list on the intranet.
Maintain an up-to-date and accurate org chart on the intranet which entails proficiency in Visio.
Assist in other HR projects which could include proficiency in the performance management (HRIS) system and other similar projects.

Bachelor’s degree and some prior office experience or a minimum three years of experience with a multiline phone system.
Administrative assistant experience desirable.
Position is part-time with hours from 8:00 am to 5:00 pm. Position is expected to be punctual and fully prepared to answer phones and greet guests at 8:00 am sharp.
This position is also expected to notify the supervisor at the earliest opportunity, well before the start of the shift of any unexpected absence or delay.
Proficient in MS Office including Word, Outlook, Excel, Word, PowerPoint, Visio, and web research.
Ability to learn and use an HRIS system.
Position requires a cheerful and people-oriented disposition, with ability to interact with various levels of people in a courteous, friendly and helpful manner.
Must be able to read about and generally understand the issues and activities of the Association and keep abreast of top priorities and projects to determine needs of callers and visitors.
Position requires a high degree of reliability.
Must be able to multi-task providing a high level of customer service.
Must be flexible and able to handle changing priorities and additional, unplanned tasks.
Ability to handle pressure in a deadline driven environment.
