ABOUT THE POSITION This position is eligible for overtime. This position is not eligible for relocation assistance. The Office Assistant position provides technical and clerical support for the Human Resources office, including serving as the primary HR receptionist
Greet and assist persons entering the area, determine nature and purpose of visit, and direct or escort them to specific destinations.
Maintain the lobby/reception area for neatness, such as straightening and stocking up on magazines/ brochures/forms, taking care of plants, etc.
Answer, screen and forward calls received at the HR main telephone line.
Collect, sort, open and distribute mail and other incoming correspondence.
Monitor departmental fax and e-mail accounts.
Respond to all inquiries in person, via telephone, email or fax, while maintaining strict confidentiality of sensitive employee and payroll information; analyze data/info to determine answers to the inquiries.
Transmit information or documents to others, using computer, mail, or fax.
Process, verify, and maintain personnel-related documentation:
Perform data entry accurately and efficiently using the HR system to input personnel data.
Process requests for employment verification in an accurate and timely manner.
Maintain personnel data and record personnel action for each employee in HR system, ensuring proposed actions are accurate and consistent with college policies and procedures.
Track and notify supervisors of their employees' employment eligibility expiration.
Recruitment and on-boarding responsibilities:
Assist with the preparation of job announcements, to include placing ads in publications, job sites, and sending out job e-mails.
Prepare and set up for new employee orientations; obtain additional orientation materials as needed.
Maintain individual employees' access as appropriate to various HR applications.
Perform miscellaneous projects requiring strong research and analytical skills.
May assist with ordering office supplies as required.
Perform other related duties, as required.
Associate's degree or equivalent clerical/administrative work experience
Intermediate to advanced skills in MS Office, including Word, Outlook and Excel
Attention to detail; able to consistently produce an accurate work product in a fast-paced environment
Ability to express written and verbal information using language that is appropriate to the complexity of the topic, and the knowledge and understanding of the audience
Effective customer service skills, including under stressful conditions
Ability to create a welcoming environment to all people from different backgrounds
Ability to work independently, with minimal supervision or instruction
Education and/or experience in Human Resources
Strong research and analytical skills
