Reporting to the Finance Director, the Administrative Assistant supports the financial activities of James Madison College. The position will be responsible for travel reimbursements, cash deposits, expense reimbursements and other activities within the MSU Financial System (EBS) to maintain timely payment on college expenses. Oversee college requisition of supplies and materials, monitor inventory and work with faculty and staff to investigate sources for needed supplies. Responsible for college student hiring processing in the EBS/SAP system, including bi-weekly reporting of hours and obtaining approval from supervisors for their student’s hours. Works closely with faculty, staff and students to ensure payroll and college expenses are within college and university policies, and provides guidance and assistance with the financial logistics necessary to successfully operate college programs. Position will support the research initiatives of the college, working with faculty on proposal and budget development. The position will be highly knowledgeable about the roles and responsibilities of all units within the College with an expectation to function as a resourceful liaison between the Finance Unit and JMC students, faculty, and staff.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate's degree in a business-related field or in a field which corresponds to the particular department of employment; six months to one year of related and progressively more responsible or expansive work experience in word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; office procedures, or in performing responsibilities related to the operational activities of the employing unit; or an equivalent combination of education and experience.
Bachelor’s degree in business or other related field; self-starter whose strengths include creative thinking, excellent communication, organization, and interpersonal skills; ability to work with frequent interruptions; detail oriented with high level of accuracy; ability to identify and resolve problems exercising excellent judgment; articulate and professional; ability to handle varied, multiple and competing project priorities; ability to work independently on projects; dependability; ability to interact professionally and effectively with JMC’s multi-cultural students, faculty, staff, guests; proficient in Microsoft Office Suite - Word, Excel, Access, PowerPoint; knowledge of EBS (KFS and SAP); knowledge of MSU policies and procedures.
