Administrative Assistant I, Office of Student Financial Services
Grade 15, AFSCME Unit position, 37.5 hours/week
Hours: 9:00am - 5:00pm
Position is primarily on the Danvers campus
This position provides administrative support to the AVP of Student Financial Services & Compliance and the other managers in Office of Student Financial Services. That support includes assisting with the development and integration of varied customer service, including mass communications via telephone, email, text as well as other processing functions that occur within the Office of Student Financial Services. Assist students with the financial aid process and helps them to better understand their payment responsibilities and options. This includes working with other staff on all methods of student service interaction points including, but not limited to telephone, e-mail, in person and on-line chat. Provide baseline Banner training for all new staff in Student Financial Services (SFS).
DUTIES & RESPONSIBILITIES:
Provide administrative assistance to the management team in Student Financial Services, including scheduling appointments, coordinating mailings, tracking documents, copying, faxing, and mail distribution.
Provide customer service to students and parents by phone, in person and via email, by answering questions and advising customers on all aspects of student accounts and financial aid.
Coordinate the office's mass communication with students across all platforms, including, but not limited to telephone, email, text and the maintenance of the office's webpage.
Scan and index SFS documents for processing in the department's digital imaging application for Student Accounts and Financial Aid (WebXtender).
Train & support the new staff members on office functions and processes.
Responsible to update and periodically test WebXtender, particularly when new upgrades occur.
Primary individual responsible for department voice mail account, but may also respond to emails sent to the Student Financial Services email account as well.
Work closely with the AVP of Student Financial Services & Compliance on the "Here to Help" process. Coordinate outreach to students as needed, request checks when necessary, track check requests and success of students helped.
Assist the Student Financial Services management team with the collection and verification of new part-time employee paperwork as needed for HR/Payroll. Coordinate & submit requests for access to administrative software system, network drive access, office keys and needed supplies.
Work with full-time staff in Student Financial Services to coordinate projects for the part-time and work-study staff.
Assist in coverage of the service area and work one-on-one with students as needed.
Maintain a basic knowledge of federal, state, and local Financial Aid policies and procedures.
Accurately process student payments, inclusive from receiving payment to reconciling cashier sessions.
Provide students with accurate and appropriate information about the billing process and their student account.
Oversee the mailing of award letters and missing information letters to students who have filed for Financial Aid.
May be asked to go to the Lynn campus periodically to help with coverage and/or with training of staff. May also be asked to work evenings during peak time and weekends sporadically throughout the year.
Performs other related duties at the direction of the AVP of Student Financial Services or other members of the Student Financial Services management team.

SUPERVISION RECEIVED: Reports to the Assistant Vice-President of Student Financial Services & Compliance
SALARY:$804.43 per week ($41,830.36 per year) with fringe benefits. An appointment made from outside the bargaining unit (AFSCME) must start at Step #1 of the range.

Must have a minimum of an Associate's degree and two years of experience preferably in Financial Aid, Student Accounts, Admissions or the Registrar's Office. A Bachelor's degree is a plus.
Excellent organizational skills; ability to work well in a fast-paced multi-task environment and to plan, prioritize and forecast multiple tasks on a schedule with minimal supervision.
Must be a detail-oriented individual with excellent editing/proof reading skills related to reconciling financial reports and student accounts.
Demonstrated ability to use Microsoft Office products including Excel, Word and PowerPoint.
Excellent interpersonal skills with an ability to promote teamwork among staff as well as interact with faculty, staff, the public and outside agencies
Ability to lead and perform with enthusiasm, energy and professionalism.
Problem-solving skills a must.
Ability to create and revise (as needed) training materials and train staff.
Must have the capacity to adapt and learn about new technology as needed. Familiarity with Ellucian/Banner or experience with another Student Information Systems is preferred.
Must have excellent oral and written communications skills.
Successful experience interacting with culturally diverse populations.
Ability to travel between campuses as necessary.
