Our School of Interdisciplinary Arts & Sciences, has an outstanding opportunity for a part-time, 50%, Fiscal Specialist 1 (Reimbursement Support Specialist).
The Reimbursement Support Specialist (Fiscal Specialist 1) will process reimbursements for faculty, staff, and visitors who have out-of-pocket expenses related to travel and other purchases. This position will process reimbursement materials received electronically and will maintain electronic files for each transaction processes. This position will communicate both verbally and in writing with IAS's diverse faculty and staff members who request reimbursements. This position will provide excellent and supportive service when reaching out to individuals directly when additional information is needed or when resolving problems under the Administrator's guidance.
Interact with individuals seeking reimbursement via email and/or phone
Process online travel and non-travel reimbursements using UW eTravel and eReimbursement functions
Review electronic receipt submissions and verify funding sources
Allocate expenditures to proper budget numbers and account codes; add use tax, when required
Ensure compliance with state, institutional, departmental, and/or granting agency policies, rules, and regulations; apply knowledge of UW Travel Office and UW Procurement Services purchasing and reimbursement policies
Resolve problems and interpret guidelines; make determinations and solve problems as they arise under the guidance of the Administrator.
Initiate interaction with unit faculty, staff, and visitors; communicate with individuals seeking reimbursement to obtain missing documentation and/or clarification
Notify appropriate individual(s) of any over- or under-expenditures
Manage reimbursements and follow through on pending transactions
Maintain electronic records of reimbursements processed; organize and maintain email files for the faculty list; maintain electronic files consistent with UW and unit policies and procedures;
Other duties as required; may include other Ariba functions such as Honoraria processing, Non-PO Invoice, Payment to Individual (P2I), and eProcurement
MINIMUM REQUIREMENTS: Three years of fiscal record keeping experience, or equivalent education/experience.
ADDITIONAL SKILL REQUIREMENTS:
Strong customer relations orientation and experience in a diverse, multicultural context
Proficiency with MS Outlook and Excel
Strong written and verbal communication skills within a multicultural environment
Familiarity with UW fiscal systems and processes, including Ariba
Experience working with paperless and remote processes
Excellent organizational skills, accuracy, and attention to detail
Ability to work in a high-volume environment, manage multiple priorities, take initiative, and use independent judgment
