KUOW is the Puget Sound Region's NPR-affiliated public radio service for local, regional, national and international news, information and cultural programming. We serve more than one million users monthly: on-air, online, live streaming and on demand. KUOW operates four broadcast frequencies in Seattle and Western Washington State and produces discrete content services on an additional two HD channels. The mission of KUOW is to create and serve an informed publicone challenged and invigorated by an understanding and appreciation of events, ideas and cultures.
The station is licensed to the University of Washington, which is assisted in its operation and management by Puget Sound Public Radio, a private nonprofit corporation established in 1999 and governed by a community board.

To help in this mission KUOW has an outstanding opportunity for a Program Coordinator, Administrative Services. Reporting to the Assistant to the General Manager, this position will serve as KUOW Brand Ambassador - provide frontline customer service including guest reception, answering phones and responding to listener questions and concerns via phone and email; perform front office related duties, administrative and event support services, and administrative support to the Assistant to the General Manager.
DUTIES & RESPONSIBILITIES
I. Provide Reception Services:
Serve as a brand ambassador to build positive community relations
Provide excellent customer service by being professional, courteous, friendly and prompt
Open and secure KUOW front office
Greet and direct station guests/visitors and alert staff members of their arrival
Distribute ID Badges and parking passes for guests; maintain visitor log
Handle and route internal and external calls on a multi-line phone system
Update customer service database with follow-up responses to telephone and email queries
Refer questions and requests for information to the appropriate station departments (e.g. Programming, Development, IT, Engineering, and Accounting)
Accept and monitor incoming and outgoing courier deliveries including UPS and FedEx
Maintain and update Front Office Manuals
Maintain required Public Files
Deal with uninvited guests according to KUOW policy
Maintain confidentiality as appropriate
II. Office Support:
Assistant to the Admin Services Division / Executive Assistant to the General Manager
Open, sort and distribute daily incoming mail to internal mailboxes
Process and prepare outgoing mail for pickup
Inform recipients of incoming packages and maintain staff mailboxes
Maintain and order UPS and FedEx supplies
Monitor shred boxes for pickup of contents
Note service problems for photocopiers
Communicate any general office and security equipment service needs to IT/Operations
Request storage and retrieval of offsite document archives
Provide secondary administrative support to PSPR Board of Directors
Assist in planning All Staff Events
Inventory, order and stock breakroom, green room and general office supplies
Update and maintain KUOW staff contact /phone lists and staff rosters
Oversee work of front office hourly/part-time and temporary employees
Other duties as assigned
Work closely with administrative front office partner
Collaborate with Facilities regarding common office spaces and safety
Work in partnership with Marketing/Communications for special external messaging
Staff reception desk during special events as assigned
Train hourly staff and other temporary front desk personnel
Serve on the Workplace Safety Team
Perform administrative and project duties as assigned
High school graduation or equivalent AND two years of experience in event coordination and/or building/facilities coordination OR equivalent education/experience.
Additional requirements include:
Cultural competence and experience successfully interacting with diverse groups of people, including persons of color and persons of various cultural and religious backgrounds.
General computer proficiency including ability to use Microsoft Office products (Word, Excel, Outlook); knowledge of Customer/client relationship database (CMS); and standard office equipment
Commitment to on-going technical skill development as relates to position
Ability to work some evenings, weekends and on-call shifts as needed
Ability to handle multiple tasks with a positive and professional manner
Excellent interpersonal communication skills appropriately tailored to different recipients required
Moderate to heavy physical tasks up to lifting 40 pounds unassisted required
Lifting, stretching, climbing steps, bending and moving office supplies/small equipment may be required
Demonstrated ability to be proactive and self-starting; and work independently
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
One year of experience with multi-line telephone system strongly preferred
Experience working with multicultural backgrounds a plus
Familiarity with KUOW and public radio programming and general awareness of news and current affairs
Familiarity with Event Coordination and Board Relations
