The Boyce Thompson Institute (BTI) seeks an Executive Assistant to the President. This position provides administrative and organizational support to the President, Board of Directors (BOD), and the Senior Leadership Team (SLT). This diverse role requires obtaining and processing information with accuracy, making effective decisions, managing teams and tasks, and exercising well-conceived judgment. Energy, dynamism, creativity and strong interpersonal skills are all essential characters.
The Executive Assistant serves as liaison between the President’s office and BTI staff, Cornell, and external organizations, disbursing information or redirecting inquiries as appropriate. The Executive Assistant may represent the President internally as part of decision-making processes, and will be involved in the conception and creation of presentations and strategies for a range of internal and external activities, including science policy, networking, and board and donor engagement. This position includes a Corporate Secretary or Assistant Secretary role, which together entail coordinating and preparing materials for Board and Board Committee meetings, and transcribing and circulating minutes. The Executive Assistant also supports the Senior Leadership Team logistically and by collecting and analyzing information, generally relating to organizational and communications strategies. This position may have supervisory duties.
Essential Job Functions
Serve as liaison between the President’s office and BTI staff, Cornell, and external organizations; provide or seek information and direct internal and external inquiries. Ensure that the President’s schedule is efficiently and properly maintained. Communicate and maintain an orderly system for the flow of documents between the President’s office and other BTI departments.
Represent the President’s office with the highest degree of professionalism and excellence.
Assist the President through organizing information and assisting in the creation of presentations, and by coordinating with other BTI and external parties in board and donor engagement.
Serve as a participant in Senior Leadership Team Meetings, as well as providing administrative support to SLT, including keeping notes, developing agendas, and amalgamating and providing required materials.
Act as Corporate Secretary or Assistant Corporate Secretary to execute a range of Board of Directors fiduciary matters.
Assist in processing and compiling a range of information from reports to technical or government documents for incorporation into grant proposals, reports, recommendations or other President’s office communications.
Ensure that proper records are kept for Board and Institute matters, and that appropriate documents are available to the President and SLT in a highly accessible manner.
Maintain intimate familiarity with the BTI Bylaws, the Agreement of Affiliation with Cornell University, and BTI history and precedent.
Assist with budget development and analysis for the President’s Office.
As opportunities arise, participate in or develop new BTI activities, particularly ones that cross departmental lines, including but not limited to education and outreach, technology transfer, and postgraduate training.
Other duties as assigned.
A Bachelor’s degree in a relevant field, and adequate experience in an executive office setting are required, and/or equivalent knowledge of organizational strategy, team dynamics, and the ability to create professional presentations. Familiarity and skill with typical writing, database and design/presentation programs is required. Supervisory experience is desirable.
Experience and Knowledge
3-5 years relevant experience or equivalent, with supervisory, presentation, and strategic planning experience preferred.
Limited supervisory responsibilities may be involved. Any necessary training will be provided.
Effective written and verbal communication and interpersonal skills required. Ability to communicate effectively with all levels of the organization. Ability to function with discretion, maintain confidentiality, and to use good judgment on all matters.
The position requires proficiency in business applications.
Travel to support the President with various functions will be required as necessary.
Physical Demands and Working Conditions
The work is conducted in an office setting. The work is sedentary with extended periods of sitting with some walking, standing, bending, and carrying or lifting of small items, not to exceed fifty pounds. Generally no adverse environmental conditions are present.
