The Sr. Staff Accountant is a member of the Academic Affairs Division reporting to the Director of Strategic Fiscal Management and Reporting. Primarily responsible for ensuring the accuracy of account transactions and completeness of financial information for various externally funded grants and contracts for the University Center for Engaging K-12, including providing direct support to the Principle Investigators (PIs) as well as grant program directors. This position also provides direct support for the Director of K-12 University Center, related to financial administration of operating budget, capital, gift, endowment, special projects, and discretionary accounts and ensures compliance with RIT policies and generally accepted accounting principles.
Objectives will be accomplished through extensive interaction and close collaboration with K-12 staff, Sponsored Programs Accounting (SPA) as well as other departmental administrators University-wide.
Detailed Job Description
Major Responsibilities: 1.Prepare and coordinate the monthly grant project statement certification process by working closely with grant program administrators as well as the PIs and SPA representative to ensure the accuracy and completeness of financial transactions and reporting for all awards. Make adjustments and/or process journal entries and resolve account deficits and/or issues as needed.
2.Attend project initiation meetings (PIM) to gain a thorough understanding of each award as it pertains to time period, budget, faculty effort, cost share requirements and other award-specific terms and conditions.
3.Analyze and reconcile operating, capital, special, discretionary, start-up, and overhead project account transaction detail on a monthly basis to confirm completeness of data. Use judgment as to whether account balances are reasonable and initiate journal entry corrections when required, including resolution of account deficits. Ensure that all transactions are in compliance with applicable university policies and procedures.
4.Create and analyze project actuals versus projections and review committed versus actual effort for key personnel.
5.Work closely with the Director of RIT K-12 University Center to develop the Kids on Campus program business model.
6.Populate and review monthly departmental payroll reports for accuracy; utilize encumbrance accounting and the payroll tracking system; and prepare correcting journal and budget entries if required.
7.Process online Employee Action Forms including monthly salary redistributions, summer salary payments, and adjunct contracts. Ensure that funds are available, accounts are setup, and expenses are appropriate/allowable. Monitor EAF approvals to ensure transactions take effect timely; follow-up with approvers as needed.
8.Reconcile available permanent FTE information to ensure adequate budget dollars are available. Track open positions pool, including FTEs and dollars.
9.Enter, monitor, and ensure the accuracy of Summer Salary payments for K-12.
10.Enter Permanent and Working Budget uploads and transfer entries for K-12 as needed.
11.Maintain and report on all K-12 cost share commitments and communicate potential impact on operating budgets.
12.Maintain accurate departmental inventory listings to comply with the annual fixed assets certification process.
13.Possess a thorough knowledge of all Controllers’ Office processes including preparation of journal and budget entries, accounts payable (invoice payment forms, purchase order payments, travel expense reimbursements), accounts receivable, procurement card transactions, and payroll and student account adjustments.
14.Develop and maintain comprehensive knowledge of sponsored programs administration requirements including the application of cost principles, administrative requirements, and audit requirements, federal acquisition regulations (FAR), NY State guidelines/regulations; and all related organizational policies and procedures.
15.Provide temporary financial support for the ADVANCE grant and work closely with the PI and Co-PI’s as well as ADVANCE office staff.
16.Perform other accounting and financial analysis tasks and participate in special projects as requested by management.
Required Minimum Qualifications
Bachelor’s degree in accounting or business administration required; four to five years relevant experience, or equivalent combination of education and applicable experience. Preference given to applicants with applicable experience in a higher education setting.
Comprehensive knowledge of accounting principles and practices required.
A high degree of expertise with MS Office including Excel, Access and Word required.
Provide stellar customer service to both internal and external customers.
Must be highly organized and have exceptional time management skills.
Must possess the ability to interact effectively and professionally with individuals at all levels of the organization and be able to work collaboratively with diverse faculty, staff, students, colleagues and departments.

Bachelors or Equivalent Experience
Experience with Oracle financial application or other enterprise-wide system preferred.
Hands-on post award grant administration experience preferred along with knowledge of Federal OMB Circulars A-21, A-110, A-133 and Uniform Guidance (2 CFR 200).
