Summary of Duties and Responsibilities:
The Debbie and Jerry Ivy College of Business at Iowa State University is now accepting applications for an Administrative Specialist I to manage the daily activities of the Ivy College of Business' Dean's Office and provide general administrative support to the college's Director of Facilities. The Administrative Specialist will serve as the first point of contact for visitors of the dean's suite by answering general building questions and announcing guests; scheduling and providing general technology support for the various conference rooms within the Gerdin Business Building; drafting and finalizing internal and external communications for the Ivy College of Business and the dean; coordinating and maintaining the college's SharePoint and CyBox website; facilitating financial reimbursements for the dean; and managing internal processes and databases for Foreign Travel Grants and Faculty Professional Development. Additionally, the position assists the Associate Dean for Undergraduate Programs with managing the enrollment and correspondence for the Entrepreneurial Studies Minor; and providing support for the college's and department's events by contacting outside vendors, securing venues, managing invites and attendance, and onsite assistance.
The successful candidate will possess self-motivation, attention to detail, be highly organized, function independently but be a team player who enjoys working on team objectives, carry out responsibilities with limited supervision, have excellent written and verbal communication skills, and be able to work under pressure with a variety of people and circumstances and consistently project a friendly and professional demeanor.
Required Education and Experience:
Bachelor’s degree and related experience; OR a combination of education and/or related experience totaling more than 4 years. Experience must be at a comparable level and directly related to the duties of this position.
Preferred Education and Experience:
- Experience that demonstrates knowledge of university operations - Experience that demonstrates knowledge of Microsoft Office programs including Excel and Access - Experience drafting and editing communications - Experience scheduling and preparing materials for events and meetings
