The Carl H. Lindner College of Business Center for Business Analytics at the University of Cincinnati is seeking a part-time (50% FTE – 20 hours per week) Executive Staff Assistant to, under general supervision from the Executive Director, assist in the planning and coordination of administration and/or operational activities of substantial variety and complexity for the UC Center for Business Analytics.
The UC Center for Business Analytics brings together organizations and a world-class, multidisciplinary group of faculty and students to educate and exchange ideas and best practices on how to apply analytical methods for enhancing business and organizational performance. The Center conducts discussion forums, produces public events, leads projects with students and faculty and provides various non-credit training courses on analytics for the public. Manage Concur expense management system monthly reporting for the Center, including converting invoices and receipts to images, uploading invoices and receipts to system, completing monthly reports
Prepare and deliver invoices to Center Members, sponsors, and training class attendees
Oversee, manage and process all aspects of event and training class administrative planning, including: event site coordination, attendee registration, sending and tracking confirmation of RSVP's, nametag preparation, catering, room set-up/clean-up, guest accommodations, etc.. Track and send reminders related to gathering all speaker info for events
Track and monitor Center budget management; update costs, projections on a quarterly basis
Collaborate with college departmental manager for internal billing, approval forms, etc.; scan and send materials/requests to college departmental manager
Provide support to Center program manager for student projects, including: requesting tracking hours related to each student project; track timeliness of administrative deliverables from graduate students, ensure Non-Disclosure Agreements (NDAs) are signed by all parties for all active projects, support updates to project-tracking dashboard.
Manage, facilitate, and track contract processing for events, trainings, and project management support through ESM Contract Management System; track to completion (i.e. signed by all parties)
Perform other related duties based on departmental need
Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years' experience; -OR- five (5) years' experience. Experience must be in high-level administrative support. Experience may also require at least one (1) year supervision.

Communication: Communicates well both verbally and in writing, creates accurate and punctual reports, shares information and ideas with others, has good listening skills.
Adaptability/Flexibility: Flexibility of scheduling for on-site support for events. Adapts to change, is open to new ideas, takes on new responsibilities, handles pressure, and adjusts plans to meet changing needs.
Organizational Savvy: Operates within the organization's formal and informal structures, builds relationships across departments/college, uses relationships to build consensus and create results, understands others' roles and perspectives,
Teamwork/Interpersonal Skills: Meets all team deadlines and responsibilities, listens to others and values opinions, builds strong relationships, is flexible/open-minded, solicits performance feedback and handles constructive criticism.
University Knowledge: Prior experience working at a college/university, specifically UC. Understands UC specific systems; has necessary job knowledge, has necessary technical skills.
This position will be a professional position paid at an hourly rate.
