The Convention Services Manager, along with a teammate, will coordinate all services needed for conventions booked by the convention sales team.
Administrative: Provides administrative support to the Convention Sales Department as needed by way of preparing reports, collecting data, researching potential service referral businesses, and other administrative tasks as requested. Specific duties include being responsible for updating the Convention Service Outlook Calendar monthly to reflect accurate definite booked conventions requiring service. Sends outgoing and responds to incoming Group History requests with Sales Manager approval. Work with Convention Services Manager on monthly board report. Responsible for preparing content for Service Summaries prior to Pre-Con meetings.
Housing: Works with second Convention Services Manager on all aspects of housing when group is utilizing Passkey. Responsible for reservation entry, room block status and communicating directly with the Sales Manager should there be a need for a change in the contracted room blocks. Gathers and reports final post-convention room block pick-up and enters into Simpleview and MINT according to our standards & policies.
Services: Works with second Convention Services Manager with coordinating services for conventions booked utilizing the Service Request function and Referral functions in Simpleview. Participates in the preparation & planning of select site visits and off-site meetings. Works on special projects for select groups as determined by sales team to include but not limited to assistance with planning transportation, entertainment, tours, shopping, social functions, spouse and children's programs and other attractions. Reaches out to partners to accomplish this task by soliciting competitive pricing through the Service Request process in Simpleview and prepares customized bid proposals for these services.
Signage: Works with second Convention Services Manager on all aspects of the signage program. Responsible for submitting signage to Convention Services Manager for monthly order to Partner Signage company utilizing the Signage Report in Simpleview. Communicates quarterly with Airport, Downtown Sacramento Partnership, and Hotels to collect feedback on signage program and keep lists of signage locations current and accurate. Creates delivery schedule and coordinates delivery with Office Services Coordinator.
Show Your Badge Program: Maintains our Convention Badge program. Informs restaurants and downtown businesses on a regular basis of group information pertinent to the program by creation and email distribution of Convention Profile. Collaborates with Partner Marketing Department to prepare revisions to the Show Your Badge Program Brochure to submit to Marketing for print. Submits request for additional print quantities or edited print to supervisor to be ordered.
Inventory: Responsible for the status of department inventory and filing orders for conventions booked. Keeps track of final inventory and orders placed. Keeps running inventory of all service related materials and giveaways for conventions and notifies supervisor when needing to reorder merchandise. Assists in preparation of all services materials for conventions.
Information Booth: Responsible for restocking and maintaining the tidiness of the permanent information booth inside the Convention Center at least twice per week. Orders materials needed for refill.
Post-Convention: Collects history and other convention related information for the post-event evaluations. Enters Pick- Up reports and specific pertinent historical information into Simpleview and MINT according to our standards & policies.
Handles all service needs from start to finish of any groups that are assigned. Assist with all departmental needs as directed by Supervisor. Completes any additional duties as assigned.
· Four-year degree from an academic institution preferred or equivalent experience.
· Experience with convention bureau, hotel, tourist attraction or other related tourism field preferred.
· Great knowledge of Sacramento and Sacramento’s history preferred.
· Excellent customer service and interpersonal communication skills. Excellent oral and written communication skills.
· Ability to exercise judgment and diplomacy in a wide variety of public contact situations.
· Excellent organizational skills and ability to handle multiple tasks and projects.
· Sales experience in the hospitality or tourism related field preferred.
· Strong understanding of Microsoft Word, Excel, PowerPoint, Office, and Adobe PDF.
· Flexible and able to adjust to changing conditions and circumstances.
· Willing and able to work weekends and evenings and be accessible to clients while off-duty.
· Reliable transportation and proof of insurance
