Rutgers, The State University of New Jersey, is seeking a Secretary I for the Department of Administration and Planning at the Rutgers Cancer Institute of New Jersey.
The primary purpose of the Secretary I is to provide high-level confidential administrative and secretarial support. Among the key duties of this position are the following:
Provides administrative and secretarial support to faculty and laboratory personnel.
Answers/screens phone calls, person inquiries and reviews, sorts, and prioritizes incoming correspondence and mail.
Assists with new hires and resigning employees. Coordinates with Human Resources in the notification and submission of paperwork, including visa applications.
Maintains and updates faculty calendar. Schedules meetings and conferences and arranges travel. Maintains paper and electronic filing systems for records, correspondence, and other material.
Transcribes medical dictation letters for referring physicians proof a variety of documents: e.g. correspondence, manuscripts, bibliographies, reports, and charts. Composes correspondence and memos as instructed by physicians and APN's.
Minimum Education and Experience:
Graduation from an accredited program in secretarial studies, plus four (4) years of full-time secretarial experience.
An additional year of experience is required in lieu of the secretarial program.
College credits may be substituted on a year-for-year basis for secretarial experience.
Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.
Required Knowledge, Skills, and Abilities:
Effective, oral and written communication skills.
Proficiency with database and reporting tools such Microsoft Word, Excel, Access, PowerPoint.
Knowledge of medical oncology/hematology terminology, transcription and strong writing preferred.
Physical Demands and Work Environment:
PHYSICALDEMANDS: Standing, sitting, walking, talking and hearing. No special vision requirements. Lifting up to 25 lbs.
