As a member of the Harvard T.H. Chan School of Public Health's Office for External Relations (OER) team, the Manager for Events and Regional Engagement will report to the Director of Events and Regional Engagement. This is a project management position for events and regional programs for the Office of External Relations.
Project management work will include: - Creation and independent management of event databases and event team SharePoint site - Maintaining, updating, and training Office of External Relations staff on the events training and resource materials for the office - Creating and managing planning timelines - Actively participating in event planning meetings - Writing correspondence to event speakers and special guests - Building electronic invitations and online RSVP forms - Developing staffing plans and managing OER support staff onsite during events - Researching and negotiating contracts with vendors - Working directly with internal and external stakeholders to achieve event goals and refine event planning systems and processes - Coordinating with high level VIP speakers and special guests; drafting briefings - Working with frontline fundraisers to create and report strategic seating plans - Collaborating with communications, research, IS, and donor relations teams to coordinate event needs Building electronic invitations and online RSVP forms; producing event materials; and staffing events
This position is also expected to bring recommendations, and offer solutions, to the Director of Events and Regional Engagement throughout the event planning process with an emphasis on increased efficiency, operational excellence, and focus on the donor, alumni, and senior leadership.
Event management work will include: - Leading stakeholder meetings - Developing planning meeting agendas and distributing meeting notes - Contributing proposals and making decisions for events - Identifying and securing venues; producing event materials - Communicating with Harvard Chan donors, prospects, event guests, and Harvard colleagues via phone and email - Independently managing events on-site - This position will also provide coverage for processing invoices and reimbursements; writing and distributing event planning meeting minutes; tracking RSVPs; scheduling meetings; and collaborating with colleagues on department-wide initiatives. - Other duties as assigned
PLEASE NOTE: Schedule is for a full-time, 40 hour work week.

- Bachelor's degree required - 3+ years of related experience required
- Experience with project management and/or history of managing complex events with varied constituents - Experience working in development preferred - Experience with Advance Donor System and/or Hyperion or similar donor systems - Experience working with data and data management, preferably with donor databases - Microsoft Excel experience and the ability to manage and interpret large amounts of data - Rapid response to high-level requests and/or donor and senior leaderships needs - Advanced writing skills
