The Opportunity Since 2010, E4E has expanded to six chapters across the country and is emerging from a period of rapid growth to now focus on building and refining our internal systems and communications so all staff are well-positioned to accomplish their goals. Reporting directly to the national Chief of Staff, the Executive Assistant (EA) will provide vital administrative support to three senior leaders, enabling them to maximize their time and focus on critical priorities. The EA will be an experienced support professional with a strong attention to detail and customer service orientation, and an ability to manage multiple projects and competing priorities with grace and humor.
Based out of our national headquarters in New York City, the EA will support the Co-Founder/Co-CEO, the Vice President of External Affairs, and the head of Training and Organizing. Responsibilities will primarily focus on completing day-to-day administrative tasks including, but not limited to, heavy calendar management, booking travel, and managing expenses. Additional work streams may include refining systems to assist executives’ ability to function effectively and efficiently, and completing other special projects as needed. The EA will play a lead role in coordinating internal communications across both the Programs and External Affairs teams, managing logistics for both in-person and virtual team events, and providing administrative support for these senior leaders.
Provide exceptional executive support (75%):
Support three national senior leaders with administrative support, including scheduling meetings, conference calls, maintaining calendars, arranging travel, managing correspondence, and processing reimbursements and expenditures
Draft and manage a high volume of correspondence to internal and external constituents on behalf of the Co-Founder/Co-CEO and VPs as needed
Build and maintain strong working relationships with Program Coordinators, Assistants, and other operations staff
Prepare materials, research, and background information for team retreats; arrange complex and detailed travel plans, itineraries, and agendas, assuming responsibilities for all logistics
Manage workflow for the Co-Founder/Co-CEO and VPs to ensure that priorities align to required capacity
Support special projects (25%):
Support the execution of high level organizational projects that cut across work streams in close collaboration with Senior Leadership Team members

You Have: Required:
4-5 years of executive-level support experience
Deep interest in the behind-the-scenes workings of organizations
Exceptional organization skills, a high level of efficiency, and an ability to manage operations of multiple projects simultaneously with precision
Discretion, strong judgment, and flexibility about overall priorities, day-to-day tasks, and sensitive conversations
Exceptional written and verbal communications skills
Ability to understand the motivations of others, inspire and compel others to action, and quickly build authentic and deep relationships
Proficiency in most of the following platforms: Google Mail, Calendar, and Docs/Drive; Box; Microsoft Word, Excel, and PowerPoint; Salesforce is a plus
