You will work independently in a manner consistent with the highest levels of performance and professionalism to accomplish critical tasks. As a key resource within Optum, your positive approach and dedication to teamwork will enable you to provide outstanding assistance. Primary Responsibilities: Manage the calendars and any changes in schedules Schedule meetings and workshops for large groups including arranging meals for attendees and planning business dinners Ensure meeting participants have appropriate access to facilities and systemsCreate / prepare meeting materials, i.e., PowerPoint presentations, spreadsheets and meeting agendas, and ensure distribution to appropriate individuals in a timely mannerSchedule and set-up resources and technology needed for meetings and events, i.e., conference rooms, catering, WebEx, and Telepresence Plan and organize logistics of large events both on and offsite Create streamlined travel arrangements, including travel packs and other traveler-specific needsBring stories to life in PowerPointProfessionally represent the leader across the organizationRoutine administration of file maintenance Track and submit expense reports on behalf of leaderInteract with individuals at all levels of the organizationWork effectively as an integral member of a teamHandle confidential information with complete discretionCompile and/or integrate information needed to complete reports and documentsReview documents to ensure accuracy and quality, and revise as neededAnswer incoming calls and facilitate handling of requests for informationEvaluate calls in terms of importance and use independent judgment to take action such as interrupting work directors or notifying othersIndependently perform varied administrative duties related to functional areasGreet visiting clients, guests and employees Prepare outgoing mail, including overnight expressRead incoming mail and triage in priority order, highlighting important items or requests for actionCreate and/or maintain SharePoint sites to facilitate team access to office documentsManage office documents in accordance with enterprise records management procedures Back up support to Business Segment Liaison (BSL) tasks for onboarding when needed
Required Qualifications: HS Diploma or GEDIntermediate or greater proficiency in MS Outlook, Word, Excel and PowerPoint2 or more years of experience working in a large, fast-paced, corporate environment2 or more years of experience providing administrative support to an executive at the Director level or above1 or more years of experience scheduling travel 1 or more years of experience creating and submitting expense reportsPreferred Qualifications:Experience managing multiple tasks with competing prioritiesExperience working with global, multicultural resourcesExperience working in a large, matrix corporate environment Soft Skills:Strong relationship management skills and demonstrated experience delivering a high level of internal and external customer service Professional and articulate verbal and written communication skillsStrong attention to detail Excellent organizational skillsProven interpersonal skills and emotional intelligence, with the ability to diplomatically resolve conflict with tact and sensitivityPositive, team-oriented outlook while displaying our organizational valuesTechnology Careers with Optum.
