<p>UNIVERSITY OF MINNESOTA EXTENSION<br />HUBBARD COUNTY EXTENSION OFFICE, PARK RAPIDS, MINNESOTA</p><p><br />POSITION ANNOUCEMENT</p><div>Position Title: Principal Office & Administrative Specialist, Job Code 1826.</div><div>Represented by AFSCME Clerical Bargaining Unit. Dues or Fair Share deductions will be made. </div><p>Supervisor: Regional Director</p><p>Appointment: 50% time (20 hours/week) Extension Civil Service/Bargaining Unit</p><p>Salary: $15.23/hr, or more depending on experience and qualifications</p><p>Application Deadline: Review of application will begin January 13, 2018; position will remain open until filled</p><p><br />PURPOSE OF POSITION:</p><p>The purpose of this position is to provide clerical, accounting and administrative support to Hubbard County Extension. Duties include, but are not limited to: serving as receptionist for University of Minnesota Extension in Hubbard County, entering detailed financial data; maintaining detailed technical records of the office; entering data into computer; preparing reports; answering the telephone; typing correspondence; and performing additional tasks as assigned by the staff. In absence of other supervisory personnel, oversee the technical areas of the department.</p><p>ESSENTIAL DUTIES AND RESPONSIBILITIES</p><p>1 Perform general administrative duties. (30%)<br />* Point of contact for the Hubbard County Extension office to include: answering the telephone, greeting customers and directing calls or visitors to the appropriate parties, taking messages and responding to requests, as well as typing letters, agendas, minutes, and correspondence as required<br />* Oversee office operations and procedures by ensuring that adequate office supplies and equipment are available and work with 4-H Program Coordinator, Regional Director, and other staff on office administration related activities<br />* Create flyers, brochures, informational letters, registration forms, and promotional materials for Hubbard County Extension programs<br />* Assist with preparation of teaching materials and resources for Hubbard County Extension programs<br />* Arrange meeting locations and registration for Hubbard County Extension event<br />* Assist with typing and sending news releases and other program-related correspondence to the media and target audiences<br />* Responsible for the County Extension publications inventory<br />* Monitor, research, and make recommendations for purchases by the Extension Office<br />* Responsible for the Hubbard County Extension web page, keeping all information accurate and current<br />* Responsible for helping consumers access Extension publications and information; especially related to horticulture, agriculture and family and consumer science<br />* Ensure Extension is adhering to county policies</p><p>2 Serve as point of contact for Hubbard County 4-H Youth Development Program. (60%)<br />* Process and manage relevant 4-H databases<br />* Responsible for livestock ID form collection and dating<br />* Assist in preparation for, and organization of the Hubbard County Fair.<br />* Arrange meeting locations and handles registration for county programs – collects registrations.<br />* Support 4-H enrollment by answering questions and following up on missing information.<br />* Organize, orders and track all 4-H awards for County Fair and other recognition events.<br />* Work with county and regional staff on implementation and reporting of the 4-H program<br />* Organize, develops promotional materials for, and adequately prepare for 4-H programs<br />* Assists individual 4-H clubs as needed, especially regarding 4-H Stewardship compliance<br />* Perform accounting activities related to 4-H Federation funds: invoicing, receipting, and pulling reports<br />* Assist with preparation of teaching materials for afterschool programs and other events<br />* Provide new 4-H family support in navigating systems, programs, and opportunities</p><p>3 Perform other duties as assigned. (10%)</p><p>WORK ENVIRONMENT</p><p>Work is performed within the Hubbard County Extension office and occasionally at the location of Extension events or programming. Occasional lifting requirements of up to 30 pounds. <br /> </p>
<p>Required Qualifications:<br />* HS graduate/GED plus two (2) years progressively more responsible office and administrative experience. Post high school education/training may be substituted for up to one year of experience.<br />* Experience with personal computer systems including trouble shooting.<br />* Experience with MS Office Suite: Microsoft Word, Excel and PowerPoint.<br />* Experience with basic accounting and an understanding of financial principles, policies and procedures.<br />* Experience with database entry and functions.<br />* Experience in providing customer service for face-to-face and telephone communications.<br />* Experience formatting, drafting, or writing routine to complex correspondence and meeting materials.<br /> <br />Preferred Qualifications:<br />* Excellent written and oral communication skills.<br />* Experience supporting more than one professional at a time.<br />* Team player with excellent interpersonal skills, enjoys helping people.<br />* Ability to work with diverse population.<br />* Understanding of basic network concepts and functionality within the MS Windows operating system.<br />* Use of Quickbooks program for accounting use.<br />* Understanding and use of Google Suite: Gmail, Hangouts, Forms, Docs and Calendar.<br />* Excellent organization and prioritization of multiple tasks and filing systems skills.<br />* Excellent troubleshooting and problem solving skills.<br />* Ability to make decisions in a timely manner.<br />* Ability to access and integrate information from a variety of sources.<br />* Professional demeanor for representing the University.<br />* Working knowledge of electronic mail and Microsoft Office word processing and spreadsheet programs.<br />* Knowledge of clerical skills and office procedures.<br />* Ability to understand written and oral directions and instructions.<br />* Ability to perform manual tasks requiring coordination, dexterity, and strength adequate to lift and move objects of bulk and weight up to 30 pounds.<br />* Ability to work effectively with all types of people.<br />* Ability to organize work tasks and work independently in performing routine tasks.<br />* Working ability to perform tasks involving prolonged sitting, standing, bending, twisting.<br />* Ability and knowledge to operate typewriters, computers, printers, calculators, telephones, copiers, fax, and other general office equipment.</p>
