The Membership Services Coordinator provides operational and administrative support to the Senior Director of Membership, Technology and Specialty Services, and is the key point person in the membership department who consistently provides high quality customer service to our members. She/he will have primary responsibility for the processing of membership applications, distribution of membership dues renewals and processing, management of accurate and timely membership records both in our database and paper filing system, management of our membership engagement and retention program and member prospect recruitment campaigns, management of our student engagement portal, management of daily membership department mailings, and providing assistance to some College committees and sections. The successful candidate will strive to provide a positive member experience by assisting, engaging, and educating members and potential members about the ACOS and its membership benefits and services. This position reports to the Senior Director of Membership, Technology and Specialty Services.
Provides administrative support and coordination of membership department activities.
Provides courteous and timely responses to member questions and requests.
Ensures data integrity in association membership database.
Maintains membership records with updates on certification, demographics, designations and awards.
Processes membership applications and sends new member onboarding communications and materials
Manage membership department mailings both electronic and paper (membership induction, recruitment and engagement).
Assists with the billing of membership renewals and manages the processing/entries of membership dues renewals.
Manages the promotion and fulfillment of Fellow resales items, to include regalia, ring, certificate, medallions and tams.
Participates in the development and implementation of membership recruitment and engagement plans.
Assists with preparation of committee agendas, reports, and membership rosters and exports.
Reviews ACOS website to ensure for accurate and timely content regarding membership services and programs and collaborates with Marketing Manager to provide current content.
Provides back-up telephone coverage when the Office Administrator is away from the office.
Provides support at the annual meeting to include working the membership services and registration desks, setup of Ceremonial Conclave, and overall convention staff support.
Performs other duties as assigned.
Preferred Education and/or Experience
Four-year college degree preferred or equivalent education and work experience, minimum 2 years.
Relational databases - iMIS (membership module, IQAs, Subscriptions, AR/Cash). Reporting and exporting using relational database logic.
MS Office Suite / Office 365 (Outlook, Word, Excel, Access), SharePoint, Informz, iCohere.
Mass email marketing system - Informz.
Competencies and Qualifications
Must be highly detail oriented, timely and accurate in data entry and management of electronic files.
Must be able to manage numerous projects while maintaining high quality of deliverables and ensuring timely completion.
Must have strong computer skills and demonstrate high proficiency on various technology platforms such as relational databases / iMIS, Office 365 (Outlook, Word, Excel, Access), SharePoint, Informz, iCohere.
Must have a high degree of responsibility, initiative, and professionalism and the ability to work effectively and cohesively with a wide range of volunteers and staff.
Must have good personal and professional judgment and the ability to problem solve and work independently to accomplish tasks.
Must have excellent written and verbal communication skills and well-established customer service experience.
