Northwestern University is seeking a temporary full-time Program Assistant for the Evanston campus.
Temporary Job Description:
The temporary Program Assistant position provides administrative support and responds to matters pertaining to the administrative functions and coordination of Pre-college programs. This position maintains prospective student records and paperwork, develops and coordinates student programming, creates and maintains associated documents, spreadsheets, and databases; drafts and types letters, makes arrangements for meetings and special events; maintains and updates Summer Session website; supports Resident Director in housing preparation and other programming operations.
As the front line representative for the Pre-College programs, the responsibilities of this position include duties such as interacting with prospective students and their parents via phone and email, providing accurate, up-to-date program information of all Summer programs, and other general administrative duties. Reporting to the Director via the Coordinator the position provides key administrative support, continuity, and efficiency across all Summer Session programs, particularly the College Preparation and College Bridge Programs.
Position will require increase to full-time hours (37.5) during identified peak work periods.
Minimum Qualifications (Education, experience, and any other certifications or clearances)
High School diploma or equivalent combination and experience from which comparable knowledge and abilities have been acquired;
At least 2 years of experience in an administrative and/or customer service setting
Excellent interpersonal and customer service skills
Excellent coordination, communication, and problem-solving skills
Demonstrated ability to work with a diverse student body and staff
Energy, enthusiasm, and ability to motivate others
A genuine interest in working with high school students
Organizational and Budget Management skills
Ability to provide a high level of discretion and confidentiality
Minimum Competencies (Skills, knowledge, and abilities)
Strong oral and written communication skills including proofreading skills
Strong knowledge of MS Office (Word, Excel, Access, Outlook)
Strong attention to detail (highly detail-oriented)
Strong working knowledge of social media (Facebook, Youtube, Instagram)
Demonstrated ability to multi-task, manage multiple priorities, and adhere to deadlines
Ability to work well independently and as part of a team
Preferred Qualification (Education and Experience)
Bachelor’s degree or equivalent combination of education and experience from which comparable knowledge and abilities have been acquired.
Experience in academic setting, preferably in higher education, working with students and faculty
Previous experience reconciling budgets in an academic setting ad pertinent software
MS Office suite 2013 (Word, Excel, PowerPoint, Outlook).
