Records maintenance and customer service position in busy continuing education Registrar's Office, serving approximately 20,000 Extension and Summer School students. Updates and maintains student ID and biographical records in SIS in compliance with Harvard University requirements. Processes legal name changes, address changes, and demographic data changes and corrections. Identifies and helps to reconcile duplicate student records. First point of contact for DCE Registrar's Office inquiries. Manages high-volume email box. Provides customer service and administrative support for various registration requirements and processes, including but not limited to English proficiency, immunization regulations, placement tests, I-20s. Maintains confidential student paper files; manages secure file area; assists with file archiving. Provides excellent customer service to students, instructors, and DCE colleagues. Attends monthly frontline staff group meetings. Performs related duties as required. Occasional weekend and evening overtime required.
The Division of Continuing Education (DCE) comprises several entities including the Harvard Extension School, the Harvard Summer School, the Harvard Professional Development Programs and the Harvard Institute for Learning in Retirement. For more than a century, Harvard Extension School has made Harvard faculty and teaching accessible to a diverse community of local, national, and international students. Harvard Extension School enrolls approximately 13,000 students per year in approximately 65 liberal arts and professional fields. More than 650 open enrollments online and classroom courses are offered at affordable prices to our communities across the world. Harvard Summer School offers approximately 300 courses on the Harvard Campus to 6,000 secondary school, college and adult learners and more than 30 international study abroad programs for up to 600 students each summer. The Division also includes the Harvard Institute for Learning in Retirement with approximately 550 active members and Harvard Professional Development Programs offering about 60 two-day, noncredit courses annually.

3 years office/customer service experience required. Education beyond high school may count toward experience. Proficiency with Microsoft Office software.
Bachelor's degree preferred. Experience in a university setting preferred. Excellent oral and written communication skills. Strong interpersonal skills; organizational skills and follow-through; accuracy and attention to detail. Experience dealing with a diverse population, including non-native English speakers; ability to work well under pressure and collaborate across departments. Must provide a high level of clerical and administrative assistance with great attention to detail, and have the ability to handle a variety of tasks independently and with many interruptions. Ability to handle complex and confidential information with discretion; flexibility in accepting new assignments. Experience with Banner SIS and SalesForce CRM a plus. Knowledge of/experience with foreign languages and cultures desirable.
