This positionâ™s primary responsibility will be to provide critical support and coordination for a full range of administrative functions for the Office of Diversity and Multicultural Affairs (ODMA). The incumbent plays a key role as a member of the team. This person is responsible for assisting with the budget and coordinating Workday entries, creating reports and managing dashboards to complement the diversity and inclusion action plan (DIAP), to track survey results and assist with goals set by DIAP. The Administrative Coordinator will coordinate details for the diversity visiting clerkship program in partnership with Bio Medâ™s Records and Registration office and clinical departments including updating the website, tracking emails and applications, communicating with Bio Med Records and Registration to set up mentorship for the students. He/She will set and maintain complex meeting schedules. The Administrative Coordinator will assist with the coordination of ODMA events, and will support program tracking and evaluation activities. The incumbent will serve as the primary administrative contact for ODMA leadership and affiliates; associate dean, assistant dean, assistant director, ODMA fellow, students, staff, faculty. THIS IS A PART-TIME, 25 HOUR PER WEEK POSITION.
Required: Associates Degree with 2-4 years of administrative experience or equivalent combination of education and experience.
Preferred: Bachelorâ™s Degree
2-4 yrs experience in a service oriented administrative support role
Knowledge of data systems and dashboard creations is preferred
Proficiency in Microsoft Office applications including Excel, PowerPoint and Word is required. Experience with Google products: Drive, Calendar helpful
Experience organizing events, travel, catering is preferred.
Familiarity with Drupal and Workday helpful
Excellent written and verbal communication skills are required
Demonstrated ability to work in a team environment and positively interact with people from diverse backgrounds.
Excellent interpersonal skills with demonstrated ability to develop relationships with University and outside stakeholders and effectively implement collaborative initiatives.
Must be a team player with a strong service oriented attitude.
Demonstrated ability and flexibility to multi-task, prioritize multiple directives, and manage diverse job responsibilities.
Excellent organizational and computer skills.
Ability to think and act independently, and handle competing priorities
