Provide administrative support and perform general office management duties necessary for the efficient operation of an office or program. Responsibilities require significant collaboration and coordination with others. Maintain strict confidentiality of staff and patient information.
Duties & Responsibilities
Provides administrative support to the Sr. Director of Finance, which includes calendar management, project support, and note taking.
Responsible for reviewing and routing of Physician Services and Physician Contracted Service contracts and documents to the clinical services.
Develop a database, maintains records of contract activity for expiring contracts, and works to improve office efficiencies.
Maintain contracts for equity and compliance.
Support the Sr. Director of Finance with any queries regarding contracts. Respond to inquiries, either by phone or e-mail, timely or accurately within 1 business day.
Performs general office duties necessary for the efficient operation including assisting with conference room reservation requests and other calendar work. Requires significant collaboration with others.
Initiates office services such as ordering supplies, copier repairs, telephone changes, and maintenance requests.
Coordinates the collection, preparation, distribution of financial, and operations reports.
Locates and compiles information; formats reports, graphs, tables, records and other sources of information.
Utilizes department specific support databases, i.e. Sharepoint, as well as applicable enterprise-wide applications.
Operates computer to access email, electronic calendars, and other basic office support systems.
Uses various software applications to assemble, manipulate and/or format data and/or reports.
Knowledgeable of the informal and formal department goals, standards, policies and procedures which may include some familiarity of other departments within the school/division.
Requires sensitivity to the interrelationship of both people and functions within the department.
Interprets and communicates operating policies.
Assists with special events planning.
High School Diploma/GED. Three years related experience. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Technical qualifications or specialized certifications
Intermediate use of MSOffice, including Outlook, Word, Excel, PowerPoint and Visio.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
