Manager, Stanford Auxiliary Library 3 (off-campus storage warehouse) in Livermore, CA
The Access Services department at Stanford Libraries is a fast-paced environment that values high quality, just-in-time customer service to meet the academic and research needs of students, faculty, staff, affiliated scholars and visitors of Stanford University. We are seeking an experienced, creative, and inclusive Manager for our off-campus library storage facility in Livermore, CA, called Stanford Auxiliary Library III (SAL3).
Work schedule: Monday to Friday 6 am-3 pm
Stanford Auxiliary Library 3 (SAL3) is located 50 miles from campus in Livermore, CA. SAL3 is a high-density, high-efficiency, preservation storage facility for library and archival materials such as books, manuscript boxes, record storage boxes for Special Collections, boxed newspapers, records, film and other media. The materials are stored on 30-foot-high racks and staff retrieve and re-file materials using a forklift. Warehouse operations center around on-going acquisition of new material, long-term optimal storage, delivery of requested items to campus Libraries, and re-filing returned items. Once a day, Monday through Friday, a secure SAL3 truck delivers and picks up shipments from multiple campus branch libraries on a tight schedule. SAL3 inventory is controlled by item barcodes. Currently, SAL3 houses over 3.5 million items. In the next few years SAL3 will reach storage capacity and expansion planning is being considered. The Manager will manage the overall SAL3 program and staff, including: 2 direct reports including a SAL3 Assistant Manager (who supervises a team of 6 staff members) and an Administrative Associate & Document Delivery Specialist. The Manager also collaborates with the University and Libraries' facilities teams to ensure the numerous building systems (HVAC, security, fire suppression, custodial, etc.) are maintained and that issues and on-site contractor visits are tracked and communicated back to those teams.
Manage the planning and operations for functions or programs that have significant business, regulatory and/or technical challenges requiring subject matter expertise.
Evaluate programs, policies and procedures. Identify issues, and develop alternative solutions which may include changes to programs, policies and procedures.
Review and analyze trends to advise and develop recommendations to achieve or modify the goals of the program or function.
Represent the program or function within the department, unit or school. Represents the program or function at the university level and/or to external constituencies.
Manage and contribute e to the development of outreach strategy that may include relationship development, communications and compliance.
Will develop and/or oversee budgets; manage finances including monitoring, analyzing, forecasting, and reporting.
Reporting to the Head of Access Services, Auxiliary Libraries & Information Delivery, the SAL3 Manager will manage the SAL3 program under minimal supervision.
Supervise staff: Manage, develop and evaluate 2 direct reports 1) the SAL3 Assistant Manager who oversees 5 storage facility workers and one driver 2) the Administrative & Document Delivery Specialist. Responsible for overall teamwork, development of personnel policies and procedures, staff training, productivity, and safety. In the absence of the Assistant Manager, the SAL3 Manager will supervise the 5 frontline storage facility workers, the delivery truck and courier routines, plus handle special campus requests.
Perform administrative work including oversee general inflow planning with campus partners, develop and analyze inventory data, report facility productivity, maintain active oversight of inventory security and control, plan for building expansion and storage services of the future.
Serve as a key on-site contact for numerous building contractors whose work is managed by the University Facilities Zone Manager and the Libraries' facilities' team; monitor, track, report back vendor activities and issues.
Report and track observed or potential problems with building access, alarms, fire suppression, HVAC, video surveillance, custodial, grounds-keeping and other utilities.
Monitor schedules of systems tests (i.e. fire system is frequently tested and reviewed) and building repairs so impacts on staffing are addressed.
Serve as one of the initial contacts for the various alarm situations and for emergency response at night and on weekends.
Projects typical for this position may include: estimating labor for special projects; analyzing shelf use and capacity; summarizing campus materials designated for transfer from many different campus partners' locations and recommending staffing levels and transfer schedules; collaborating with the University Zone, Library Facilities and Preservation Dept for building systems efficiency; scoping new functionality for database tracking of digitization partner shipments and create new procedures; assessing new technology, contribute to the assessment of alternative inventory control software.
