Full Time 40 hours Grade 009 Medicine SMH Gastrointestinal Schedule 8 AM-4:30 PM Responsibilities General Purpose: With minimal direction and considerable latitude for independent judgement, perform routine and non-routine duties requiring highly advanced secretarial skills and proficiency for the Department of Gastroenterology. Secretary is responsible for considerable departmental administrative details and duties requiring extensive experience with policies, procedures, and practices of the University and the Department of Gastroenterology and Hepatology. Responsibilities: Patient Scheduling: Schedule procedure and office appointments for patients at multiple locations using electronic scheduling systems. Extensive use of electronic medical record system to correspond with attending physicians, midlevel providers, patients, internal customers, external providerâ™s offices, and others regarding the status of patient requests for appointments. Communicate with accuracy the various preparation requirements for GI procedures and other appointments to patients in writing, by telephone, and electronically. Maintain with efficiency clinic schedules of multiple providers; monitor them consistently for opportunities to improve all providerâ™s productivity and increase appointment availability and access for our patients. Administrative Support: Disseminate correspondence to patients per direction from providers regarding results of procedures, tests, and other information pertinent to patientâ™s gastrointestinal health. Respond to providerâ™s requests to alter their master schedules. Ensure schedules are accurate and change are made in a timely manner. Manage and coordinate provider calendars related to attendance at conferences and conventions so as to not interfere with patient schedules. Process requests for medical information from providerâ™s offices in a timely manner to ensure patient receives quality care. Ensure all notifications are professional and prompt. Obtain authorizations for office visits, procedures, radiology, and other testing as required by insurance companies. Patient Call Triage: Determine appropriate disposition of incoming patient phone calls, tasking appropriate provider, and scheduling follow up appointments. Communicate with call center staff members, providing them with appropriate direction on GI policies and procedures. Ensure all phone calls are routed to correct pool or provider in a timely manner. Work-queue and In-basket Management and Oversight: Work multiple queues on a daily basis and maintain appropriate levels of message in eRecord In-baskets. Assist teammates with coverage of In-baskets during vacations, absences, and lunch periods. Respond to urgent requests within assigned queues in a timely manner. Other duties as assigned. Qualifications: Associates degree, plus a minimum of three years of medical secretary experience in a busy, multi-provider practice setting (preferably in Gastroenterology); or an equivalent combination of education and experience. Strong interpersonal skills with attention to patient-centered philosophy. Demonstrated verbal and written communication proficiencies and ability to maintain confidentiality. Experience with Microsoft Office and Electronic Health Record applications required.
