Job Posting: Provides administrative support to Vice President, coordinating all administrative activities of the office; applies a detailed knowledge of responsibilities, functions, and underlying management structure of the larger Health System organization in ensuring the orderly and timely flow of business through the office. Supports the extended operations management team as needed. Coordinates and oversees activities of operations administrative assistant team. ESSENTIAL DUTIES AND RESPONSIBILITIES: Screens and prioritizes calls and appointments; routes inquiries to other levels of the organization as appropriate. Maintains the Vice President's calendar, schedules appointments and meetings, makes travel arrangements. Arranges meetings hosted by the Vice President, coordinating meeting rooms, contacting attendees, facilitating their attendance, ensuring that required informational materials and equipment are provided. Types, from rough drafts and verbal instruction, correspondence, narrative and statistical memoranda and reports. Composes minutes of meetings. Composes more routine business correspondence for the Vice President's signature, either independently or with minimal direction. Ensures that spelling, punctuation and grammar are correct. Establishes and maintains filing system and database records for the office. Prepares periodic, recurring reports from the file and database. At the direction of the Vice President, prepares slides and charts, researches, gathers, sorts, compiles, and organizes information from files, from other departments and offices, from outside agencies, etc., for special reports, presentations, and information requests. Reviews various financial, business and related reports and dates, notes variances or discrepancies, and ensures that they are brought to the attention of the Vice President for action as necessary. Assembles files and background information to facilitate and assist in timely action. Performs other related duties as assigned or required.
Qualification Requirements/Preferences: Education Certifications/Licensure Experience Physical Abilities High school diploma; Bachelor's preferred; 4-5 years progressive administrative/secretarial experience, preferably supporting an Executive; computer literacy to include proficient use of Windows 95 to include MS Word, Excel, Powerpoint, and Access; type 55-60 wpm, proven team worker with excellent customer relations skills.
