Summary of Major Responsibilities The Associate Director (AD) for Student Development and Disability Services Coordinator administers programming and services for all IHP students, including services for students with disabilities. S/he leads OSAS efforts to engage and empower students by designing and leading various initiatives to enhance student life. S/he works creatively and collaboratively with students, faculty, and staff (and occasionally with alumni) from all areas of the Institute. Reporting to the Dean of Student and Alumni Services, this position directly supervises the Assistant Director for Student Leadership Development as well as a Writing Consultant and several Graduate Assistants.
The AD's responsibilities for programming include a mix of oversight, collaboration, and hands-on execution to address a wide variety of OSAS priorities, including but not limited to: persistence to graduation, leadership development, health and wellness, community service, first-generation college students, spirituality, social justice, and other student development interests. S/he also assists the Dean in several key areas: budget management, critical incident response, student conduct, Title IX, support for at-risk students, and assessment (such as student learning outcomes, student satisfaction).
The Associate Director develops, manages, and assesses policies and procedures related to student life and student services (such as student activities and assistance with off-campus housing and transportation). S/he partners frequently with the Assistant Director for Multicultural Programming and Inclusion in OSAS as well as Academic Support Counselors and other faculty and staff colleagues outside OSAS. This position serves as a liaison to the IHP's counseling service for students (EAP) and serves as a secondary advisor to Student Government Association and a primary advisor to two or three student organizations and clubs.
As Disability Services Coordinator, this position works to ensure access to IHP facilities, programs, and services for students with disabilities. S/he must demonstrate knowledge of best practices in disability services, ensuring compliance and promoting awareness with and for students and faculty. S/he manages all aspects of accommodations processes (currently serving approximately 75 to 100 students each year).
Principal Duties and Responsibilities Leadership Expectations of the Role Actively support the mission of OSAS and the MGH Institute by demonstrating and promoting a culture of service, innovation, and personalized attention to students and alumni, including a commitment to inclusive excellence and equitable services and engagement opportunities for all students Stay current on national trends and best practices in student affairs and development theory and practice as well as disability/accessibility services with emphasis on graduate students in health sciences Participate fully in the life of the Institute - i.e., attend Schwartz Rounds, Baugh Lectures, and other educational events; volunteer when possible and encourage others to be similarly engaged Model appropriate, ethical behavior, and professionalism; promote transparency and accountability Serve as a conscientious steward of Institute resources by promoting creativity, efficiency, and sustainability Share knowledge of trends and priorities in student development and disability services with OSAS colleagues Maintain appropriately secure and accurate system for storing student records, electronically and otherwise, including meeting notes, accommodation requests, and supporting documentation - ensuring student privacy and best-practice record keeping Implement and maintain formal protocol to assess Student Development and Disability Services offerings, including student outcomes (important to support strategic planning, IHP-wide and program-specific re-accreditations, and similar institutional priorities); analyze and share findings appropriately Through collaboration with colleagues, assist with formal assessments of other OSAS/IHP offerings as requested, including but not limited to New Student Orientation, Interprofessional Activities, Community Day Administration of Student Development Programs and Services (45%) Lead day-to-day OSAS operations related to student development and student life; communicate frequently with the Dean, Assistant Director for Student Leadership Development, and Department Coordinator (and others as needed). Ensure seamless delivery of support services for students. a. Manage daily activities and services provided to students, including supporting students through referrals to appropriate services as needed b. Advise students as needed on personal issues that relate to their coursework, maintaining confidentiality while promoting self-agency and problem-solving skills with and for students c. Promote academic success and persistence to graduation by referring students to Academic Support Counselors and Faculty Advisors; participate in the coordination of IHP-wide efforts to provide early-intervention resources and support for at-risk students d. Supervise, develop, and evaluate the Assistant Director for Student Leadership Development (full time) and a Writing Consultant (part time) e. Collaborate with OSAS team and various faculty/staff to plan and deliver New Student Orientation programs at four entry points across the year; help develop and implement on-line and in-person resources to support optimal onboarding of incoming graduate students (The Dean and the Associate Director for Career Development serves as departmental lead for NSO but all staff members play integral roles in welcoming and orienting each incoming class to the IHP and to OSAS offerings.) f. Plan, facilitate, and assess topical programming (active and passive) to promote well-rounded student development, including but not limited to health, nutrition, spirituality, time and stress management, and seasonal celebrations; collaborate with Assistant Director for Diversity and Inclusion and other faculty/staff to ensure OSAS programming provides equitable opportunities for student engagement and supports the Institute's core values of dignity and respect for all g. Participate with the Dean in occasional student conferences, interviews, and investigations related to student conduct, academic integrity, student grievances; maintain confidential records and assist with related communications h. Support Title IX compliance protocols; serve as an investigator as needed (training to be provided) i. Assist the Dean in coordinating support for urgent student crises such as short-term housing, leaves of absence, etc.; communicate appropriately about student concerns with key academic leaders j. Maintain and update OSAS content on the IHP website, in the Catalog, and in Student Handbook k. Monitor the conditions of student lounge areas to ensure student satisfaction with available resources
Disability Services Administration (40%) Manage Student Disability Services and accommodations for all Institute programs. Ensure the Institute remains compliant with Americans with Disabilities Act (ADA) and related legislation and resources related to students with disabilities.
a. Build a rapport of confidentiality and student-centered service with current and prospective students b. Review all types of medical and psycho-educational documentation to determine eligibility for disability services and to prescribe appropriate academic accommodations c. Notify faculty of students' approved accommodations and services in writing each semester, coordinating with each academic program's faculty and staff as needed to ensure compliance d. Maintain a well-organized system of current student documentation and correspondence, including a contact log e. Recruit, hire, and supervise a small number of Note-Takers, Readers, Tutors, and Review Session Leaders as needed, assisting with payroll procedures for these staff members f. Develop and implement a series of faculty workshops on disability law and disability-related services to be offered at the start of each semester, with concerted outreach to new instructors g. Collaborate with Information Technology staff to identify and implement the use of adaptive technologies to assist students and faculty h. Promote Disability Services and related resources with and for current and prospective students i. Stay current on national trends and best practices in disability services, including efforts to promote accessibility and to reduce possible stigma associated with accommodations j. Demonstrate working knowledge of ADA and other appropriate laws and resources pertaining to higher education disability services - particularly focused on graduate-level health science education - as well as adaptive technology services and other appropriate resources
k. Maintain accurate, welcoming content on website and Student Handbook regarding accommodations
Budget Management (10%) Manage aspects of OSAS's fiscal activities related to Student Development and Disability Services, including participation in development and management of operating budgets, inventory control, travel expenses, purchasing, etc.; review and reconcile monthly reports, including a credit card issued by the Institute. Assist in promoting fiscal literacy and prudence among OSAS staff and student-leaders. a. Monitor budget data, including approved expenses (and some revenues from student organization activities and similar events); investigate variances and troubleshoot in a timely manner, recommending solutions to avoid future variances b. Ensure compliance with established budgets and operational policies and procedures in accordance with IHP Finance department's expectations and in conjunction with the Department Coordinator & Assistant to the Dean, who tracks all OSAS budgets c. Review and reconcile monthly reports, including a credit card issued by the Institute to the Associate Director for pre-approved, work-related purchasing d. Develop and track streamlined, transparent procedures and reporting tools for student organizations' financial activities (to be administered with student-leaders by the Assistant Director for Leadership Development under the Associate Director's supervision) e. Work closely with the Dean on annual budget preparation; plan for Student Development and Disability Services needs by analyzing short- and long-term programming plans Other (5%) a. Serve on various committees and special projects within OSAS or related to Institute-wide priorities such as New Student Orientation, Commencement, Interprofessional Activities, Risk Management, Compliance, etc. b. Represent OSAS in the absence of the Dean when requested
c. Perform other relevant duties as assigned to support the mission and daily operation of OSAS
Supervisory Responsibility Supervise, develop, and evaluate a full-time Assistant Director for Student Leadership Development and a part-time Writing Consultant; oversee the work of Graduate Assistants and work closely with the OSAS Department Coordinator and Assistant to the Dean role to ensure seamless office operations and student-centered communications along with successful completion of special projects.
Qualifications Education and Experience Qualifications Bachelor's degree required with master's degree preferred. Minimum of three years' experience in a service-oriented, counseling, and analytical, detail-oriented position. Working knowledge of Section 504 of the Rehabilitation Act of 1973, the American Disabilities Act (ADA) of 1990, FERPA and other appropriate laws pertaining to higher education and disability services. Prior student services experience strongly preferred. Excellent organizational skills, time management, verbal and written communication skills, and strong interpersonal skills are required.
