The University of Maryland School of Dentistry (UMSOD) is seeking a Program Administrative Specialist. This position will support the Interim Chair and faculty of the Division of Oncology & Diagnostic Sciences (ODS) with a variety of administrative tasks related to the efficient operation of the unit.

Work in conjunction with Office of International Services for hiring practices; prepare exchange visitor applications for J-1 visa (DS-2019) and H-1 visa process, including preliminary paperwork to request the prevailing wage, LCA, I-129, and final petition—all according to established procedures;
Work with the Office of Research and Development for Research Scholars; participate in orientation of new employees, i.e., ID, e-mail addresses, parking, timesheets, personnel database, post-doc check list, post-doc contract letter, health insurance information, schedule appointments with Payroll Office and interact on behalf of department with that office;
Coordinate faculty and post doc hiring; prepare letter to Chairman, prepare letter to Dean, Budget Amendment form; work with the Dean's Office staff to receive approvals
Maintain personnel files for staff, faculty and post-docs; assist with hiring processes, Employee Funding Profiles, and SOD Employee Action Forms: arrange travel for faculty;
Coordinate personnel actions for staff, faculty and postdoctoral fellows, i.e., new position postings, new contracts and contract renewals, follow up of timeliness for implementation of personnel actions, etc.;
Assist with ordering supplies; provide office services to include correspondence, charts, forms and course materials; technical support for facsimile, scanner, computer/printers, copiers, voice message; and major purchases, as needed.
Enter purchase requisitions (PUR01) and check requests (PUR02) for department.
Maintain ODS website.
Use Purchasing Card for faculty and office purchases as directed. Coordinate departmental expenditures and accounting with financial support.
Coordinate seminars and other departmental meetings; create and distribute schedules and announcements; arrange and set up refreshments as needed;
Ensure confidentiality of information; and relay messages and instructions between supervisor and others, exercising independent judgement.
Liaison to other departments; Dean's Office, HR, Payroll, International Office, Purchasing and Office Services.
Perform other duties as assigned.
Education : Bachelor's degree.
Experience : Four (4) years of experience in administrative staff work.
Other : Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques. Skill in the use of office automation software and its applications, ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact, to present ideas and information clearly and concisely, both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form. Ability to independently handle multiple tasks and set priorities.
Based on the duties of this position, selected candidates are eligible to participate in the Bargaining Unit (Union).
Salary Range: $43,685 - $54,000
