The Staff Assistant provides administrative support to the dynamic Swearer Center community of students, staff, and community partners. The position serves as the primary administrative support for this group in addition to processing financial transactions, organizing events, overseeing building maintenance issues, maintaining supply inventory, and managing calendars and communications. The ideal candidate will be customer service and detail oriented, resourceful, organized, efficient, proactive, and self-motivated.
Basic office support, backup on financial/HR functions
Implement office procedures; manage general office support functions such as supplies, equipment, facilities issues, building coverage, office-wide meetings; assist with finances, payments, and HR matters as needed.
Event planning and support
Help organize and support Center-wide events such as Community Service Opportunities Fair, orientation, parentsâ™ weekend, commencement events, and student trainings. Prepare, copy, and distribute events calendar and post on websites and other outlets; arrange for related logistics, e.g., order food; room reservations; a/v or other technical support; travel and lodging arrangements for visiting speakers; set up meetings with speaker with appropriate groupsâ”faculty, students, staff. Process related paperwork, e.g., honoraria, travel reimbursement, etc.
Provide general administrative support to the director/associate dean.
Respond to routine inquiries; assist with scheduling, travel, reports, and other administrative tasks.
Center-wide and Brown Responsibilities
Like all Swearer Center staff, this person will collaborate with the overall staff on Center-wide strategy and initiatives and work to integrate his/her activities with broader Swearer Center goals and programs.
High school degree with 2-4 years related experience (preferably in an academic setting) or equivalent combination of education/experience; some college strongly preferred
Administrative experience in an academic setting preferred
Strong customer service and problem-solving orientation; Ability to take initiative and anticipate the needs of the organization
Excellent interpersonal/communication skills; Ability to interact professionally with multiple audiences and people from diverse backgrounds
Excellent organizational skills and attention to detail; Ability to manage multiple tasks with competing priorities
Ability to work independently as well as part of a collaborative team
Excellent computer skills in word processing, spreadsheet and email applications (Excel, Word, PowerPoint, Gmail, Banner, R25); experience with contact management databases (Salesforce, Access, etc.); learning management systems (Canvas); Experience with Workday and website maintenance strongly preferred
Flexibility to meet routine deadlines as well as handle emergency needs; Ability to work evening and weekend events/ programs.
Ability to handle confidential or sensitive materials with discretion
