The Department of Pediatrics has an outstanding opportunity for a highly motivated FISCAL SPECIALIST 1 in the Central Finance Office. The individual in this position provides fiscal support in areas such as budget maintenance, purchasing, travel, expenditure control and/or fiscal analysis for the Department of Pediatrics. This position will report directly to the Fiscal Specialist Supervisor.
Process and track purchase orders through the online eProcurement system and Procard.
Process petty cash, check requests, check deposits/cash transmittals, purchase order forms, and eProcurements orders (eReimbursements, online invoicing, and eTravel).
Review and process travel arrangements and reimbursements for UW and Non-UW travelers.
Manage and reconcile the departmental Central Travel Account (CTA), ProCard, Xmail, and petty cash transactions and prepare monthly reports.
Match, track, and maintain source documents to Central Pediatrics Finance Office filing system.
Ensure that all orders and reimbursements are compliant with UW and Department of Pediatrics policies and procedures.
Exercise independent judgment to make fiscal determinations; anticipate and prevent potential issues.
Troubleshoot and resolve problems to support accurate and timely purchase requisitions for equipment, supplies and services.
Distribute purchase order updates to internal customers.
Assist in budget reconciliation on MyFinancial Desktop.
Process departmental invoices.
Maintain and update informational database in Excel.
Receive and refer visitors and respond to routine inquiries to the Pediatrics Administrative Offices.
Process quarterly tuition payments using the UW Student Database System by entering departmental scholarship awards.
Perform related duties as required.
Three years of fiscal record keeping experience, or equivalent education/experience. Should be organized, efficient, adaptable, and willing to learn. High attention to detail, excellent communication skills, and customer service orientation. Proficient in MS Word and Excel. Experience with E-commerce (e.g. corporate credit card, online travel booking for others, and E-procurement)
