The University of Washington School of Law is seeking a full time Program Coordinator.
Under the supervision of the Assistant Dean of Admissions & Financial Aid, the Program Coordinator is responsible for coordinating all aspects of applicant files for the JD program. This includes assembling and maintaining every applicant file for committee review. The ideal candidate must possess independent judgment, strong attention to detail, and a positive attitude with excellent customer service. This candidate must also have the ability to learn new systems and procedures in a dynamic and fast-paced work environment. This position has a high degree of contact with both data and people.
Admissions Data Management
Oversee and maintain the applicant filing process Manage data population from online applications into the admissions database while ensuring data integrity and accuracy Identify, assess, and troubleshoot potential dataflow issues and recommending short- and long-term solutions Prepare complete and accurate applicant files for committee review Serve as primary contact for applicants to ensure completion of files including updating applicant files with application materials Create database reports upon request
Manage Recruitment Travel and Data
Manage recruitment fair registration and payment Maintain the master travel calendar for the Admissions Office Assist in the shipment of recruiting materials Gather data on the effectiveness of participation in recruitment fairs and forum, assess the data and make recommendations Enter prospect data from recruitment fairs and forums Travel occasionally to attend recruitment fairs representing the law school
Provides excellent customer service while serving as backup to the Office Assistant responding to phone calls, correspondence, and visits Assist with event planning, including student visits and open houses Qualifications:
High school graduate or equivalent and two years of experience in data management or equivalent education/experience
Two years of experience providing administrative support Demonstrated knowledge and use of database including experience generating reports Strong customer service skills with an emphasis on patience and professionalism Ability to maintain confidence and demonstrate good judgment Strong attention to detail emphasizing accuracy and speed Works well independently within a strong team environment Proven problem solving abilities Ability to learn new processes and procedures quickly and accurately Proficiency using Microsoft Office Suite, including intermediate to advanced proficiency with Excel, Word, and Access
Bachelor's degree Prior experience working in higher education Prior experience working in an admissions office Experience working with Admissions Communications Exchange System 2 (ACES2) and Student Database (SDB) database
