Reporting to the Director of Admissions and Fellowships, and in coordination with nearly 100 fields of study, the Fellowship Specialist will maintain accurate and highly detailed records of student financial awards made by the Graduate School, and will develop and maintain a robust business process to ensure students are receiving appropriate awards. Routine responsibilities include creating an accurate roster of fellows prior to the start of each term, updating internal fellowship tracking systems, posting fellowships awards to student bursar accounts, and using the Kuali Financial System (KFS) to reconcile unit accounts. The Fellowship Specialist will serve as the primary department resource on university and Graduate School fellowship policies and procedures, and will provide expertise in interpreting policies and procedures; counsel and advise students, faculty, and staff accordingly; and monitor compliance with internal policy and external regulations.
The position requires an attentive approach to record keeping, account management in accordance with established accounting practices, and responsive customer service. The Fellowship Specialist will manage research and travel grant nominations and awards, and review external fellowships to determine top-off eligibility and calculate awards.They will send regular communications to funded students and their fields, and provide education, information, and training.
The Fellowship Specialist will review financial documents and awards for conformance to policy; develop regular reports, budget projections, and audits; investigate and identify problems; resolve moderately-complex discrepancies; and recommend improvements in line with university financial policies and procedures.
Formal training of 1 to 2 years beyond a HS Diploma, 2 years college coursework, or Associates Degree; 4-6 years' experience, or equivalent combination of education and experience. Applicants should have a background in accounting/finance, ability to analyze/interpret financial data, excellent organizational and communication skills, and significant experience using complex software systems.
Ability to work independently to identify and resolve complex issues. Discretion and respect for confidential information.
Excellent judgment, attention to detail, accuracy, and consistency in decision making is essential. Demonstrated ability to work on multiple, simultaneous priorities and work assignments. Leadership in providing a high level of customer service to internal and external constituencies, including applicants, faculty, and colleagues is required.
Bachelor's degree or equivalent. Knowledge of Cornell KFS systems.Familiarity with university IT admissions systems. Able to work effectively and closely with staff and colleagues across campus, and diverse population of applicants and students from around the world. Flexible attitude required to function in a high-volume, high-output environment.
