The Department of Psychiatry and Behavioral Sciences within the UW School of Medicine is the third largest clinical department within the School of Medicine with 285 full-time faculty members, 515 clinical faculty members, and over 200 staff. Department faculty provide clinical services in 5 hospitals, 14 primary care locations, and several outpatient sites in addition to telepsychiatry consultations to more than 150 clinics in Washington and beyond. As the only academic psychiatry department serving the five state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho), the Department's highly competitive residency training program is largely responsible for developing the mental health workforce in the Pacific Northwest. The Department's robust research portfolio totals $35 million in grants and contracts per year for projects ranging from clinical neurosciences to treatment development to health policy and population health. The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. The Department of Psychiatry and Behavioral Services currently has an outstanding opportunity for an ADMINISTRATIVE COORDINATOR. This position involves coordinating a variety of administrative activities for multiple Principal Investigators (PIs) in the Department of Psychiatry and Behavioral Sciences. This position will offer administrative support and data management on several state- and privately-funded mental health services research projects with a focus on evidence-based practices for adults with serious mental illness (e.g., the Assertive Community Treatment and First Episode Psychosis).
Responsibilities will include:
Coordinate and track a high volume of travel arrangements and create detailed travel itineraries for travelers.
Process a high volume of complex travel reimbursements.
Assist with event coordination for meetings and conferences, including preparing agendas, announcements, and minutes, arranging and setting up conference rooms, AV equipment, and food/beverage orders.
Prepare event materials and distribute to participants.
Manage research team's calendars and schedules.
Assist in data collection, data entry, and data management for all projects.
Under the supervision of the research staff, prepare summary narrative reports, graphs, tables, charts and illustrations.
Track and pay research lab purchases and invoices.
Monitor and update website content.
Act as a liaison between the research team, program partners, research study sites, training venues, and travel agencies to ensure that all administrative efforts for events are complete.
Maintain compliance with University, State and Federal policies, laws, and regulations.
Interfacing and liaising with other UW administrative staff and external contractors regarding processing of sub-contracts and personal service contracts to assist with implementation and project development
Perform related duties as required.
High school graduation or equivalent AND two years of experience in administrative support, overseeing and executing office operations OR equivalent education/experience.
Demonstrated attention to detail and creative problem-solving skills.
Good interpersonal skills working in a cooperative, team environment with peers, supervisors, and the public.
Ability to communicate effectively, orally and in writing.
Ability to positively interact with a wide variety of people.
Ability to prioritize work appropriately and to work effectively both as a team member and independently with minimal supervision.
Ability to work on several different projects and with several different staff members.
Experience updating webpages.
Proficiency in the use of the following software applications: Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Suite.
Experience with UW travel and reimbursement policies.
Experience with REDCap, SPSS, and Drupal.
Experience working with public or representing an organization to other organizations.
