Advertised Summary Job Description: Reporting to the Executive Director of Physical Resources supports all facilities functions at the School of Professional Studies. The Facilities Manager will focus on facility operations, but will also assist with space planning, and human resource operations, and ensuring all administrative needs of SPS are delivered efficiently and effectively. This role is largely focused on relationship management and requires someone who is great at working with people and also has the ability to transition quickly from one project/responsibility to another.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES: (95% of total job)
- Manage SPS FixIt inbox. Respond to faculty and staff's facilities inquiries quickly and efficiently - Respond to facilities issues as the need arises, including issues related to repairs, HVAC, cleaning, recycling/trash, extermination, flooding, installation, broken appliances, etc. - Coordinate and track CU work orders, manage until request completion. - Manage relationships with other Lewisohn stakeholders and coordinate facilities efforts accordingly - Coordinate and manage access to building for SPS including key system and swipe access - Responsible for office signage (building directory, hallways, classrooms, administrative offices) - Develop and implement Facilities/Operations Policies and Procedures - Assist with proactive maintenance of building, including identifying issues that need to be addressed (lighting, paint, etc.)
- Liaise with Columbia University (CU) Facilities Department to ensure that all service/building system emergencies are resolved in a timely fashion and that the Executive Director and affected departments are kept informed of the status and resolution effort. - Responsible for the periodic inspection of buildings with departments such as public safety, fire safety ect. to ensure superior maintenance and work quality and compliance with established procedures and regulatory guidelines. - Work with Executive Director to develop KPI's that meet the service expectations of client base and track progress and customer satisfaction. - Participate in the planning and execution of building projects including renovations, upgrades of space, interior re-configurations, cosmetic improvement, and related projects. - Supervise the coordination of on-site visits with vendors, contractors and CU Facilities for all routine facility maintenance and repairs as well as for any building modifications. - Create and submit requests for proposal for projects bids, obtain competitive bids, and coordinate and prepare bid packages necessary for the purchase of equipment, materials, and supplies when necessary - Work collaboratively with the Executive Director and Facilities Project Manager to update and create policies and procedures.
PERFORMS OTHER DUTIES AS ASSIGNED OR REQUESTED (5%)
General Minimum Qualifications: -Bachelor's degree required, or equivalent - 3 years of experience
Additional Specific Minimum Qualifications: Must have a strong service oriented attitude and excellent interpersonal skills. Must be well organized, and exceptional written and oral communication skills. Familiarity with computer accounting systems and PC based software packages are essential. Strong knowledge of MS Office (Word, Excel, and Visio), required.
Preferred Qualifications: Event planning experience, project management experience, familiarity with related Columbia University systems and regulations preferred.
