The Department of Animal and Poultry Sciences in the College of Agriculture and Life Sciences seeks an administrative assistant to support the Department Head, faculty, staff and students in department activities and operations. The successful applicant will manage and coordinate all personnel appointments and administrative matters of a confidential and complex nature. Responsibilities of the position include 1) providing administrative assistance to the Department Head, including scheduling and preparation for meetings, maintaining calendars and confidential files, communicating frequently with departmental faculty and staff, as well as college personnel and external stakeholders; 2) preparation and processing of all personnel forms, including recruitment in People Admin for salaried positions, coordinating faculty requests for hiring wage and temporary positions, working with effective recruitment of personnel and on-boarding of new hires and research extended appointments, sabbaticals, etc.; and 3) serving as the first point of contact and resource for faculty, students, staff and visitors to the department.
Experience providing administrative support in an academic or professional office environment; Strong computer skills in MS Office Suite including email and calendaring software applications; Experience managing multiple calendars, composing and editing correspondence and reports with attention to detail, timeliness and accuracy; Ability to manage competing priorities; Professionalism and the ability to interact comfortably and respectfully with all individuals in a diverse, multicultural environment.
Experience in VT Human Resources policies and procedures; Working knowledge of Virginia Tech policies and procedures related to areas such as financial management, purchasing, travel, promotion and tenure, and faculty required reporting; Experience using Banner system, PeopleAdmin, and Outlook Calendar.
