The Assistant Coordinator in the Center for Talent Development (CTD) fulfills two key roles. As a Pathways Committee member aligned with a specific topic (e.g., science, math, English/language arts, etc.), collaborates with CTD and University-based content experts to design and implement inclusive and challenging learning experiences for children pre-K through grade 12, across all the Center's programs. Assists in the design and implements innovative learning pathways in keeping with the Center's conceptual vision, working with the team to create new or enhance existing offerings. As a Program Administrator, is responsible for supporting the administration of educational programs, with significant responsibility for day-to-day operations. Oversees the successful implementation of a specific subset CTD programs (e.g., onsite academic year, onsite Summer, online, hybrid), including the selection, training, and supervision of instructional staff and managing the logistics for program operations.
Please note: This position requires off-hours meetings, attendance at conferences and events throughout Chicagoland, and occasional travel. During peak program times, position may travel between program sites, work extended hours and/or weekends, and have 24/7 on-call availability. This position requires frequent travel to off-site locations throughout the Chicagoland area. Public transportation to these locations is limited, so candidates must have their own reliable transportation to be considered for this position. Local travel expenses will be reimbursed per Northwestern's reimbursement policy.
The Center for Talent Development serves 16,000 students annually through its Midwest Academic Talent Search, and over 10,000 students and their families annually through other pre-K-12 educational programs. CTD also supports outreach and research programs. Supervises temporary staff, and work-study students. Supervises teachers, teaching assistants, advisors and/or counselors associated with educational and outreach programs.
Content Area/Pathways Development and Program Design
Participates on CTD Pathway committees with other CTD, SESP, and University faculty and staff to develop and implement pathways for students' progression through CTD programs in specified areas of interest, with options to participate in multiple modes of delivery. CTD Pathway committees include: science, math, English/language arts, etc. Maintains up-to-date knowledge of the research and best practices in the content area, assisting the assigned pathways committee to develop inclusive, engaging, and exciting curriculum that will allow students to explore the content area and gain mastery of the topic through the completion of the pathway courses.
Program Administration and Implementation
Talent acquisition and management: Provides ongoing support for the management and direction of temporary program staff assuring that programs are staffed with qualified individuals from a variety of backgrounds. Coordinates, as assigned, recruiting, hiring, and training program staff, with a focus on recruiting staff. May include supervision. Staff includes, as applicable, administrative/support staff, teachers, counselors, researchers and assistants. Academic staff include teachers/instructors and teaching assistants. Residential staff include dormitory supervisors, residential counselors, and residential teaching assistants.
Logistics and operations: Procures resources, oversee operations, and ensures that programs run smoothly and meet customer expectations. Resources may include classrooms and other facilities, books, supplies, and materials for the program. Provides clear guidance and information about program logistical needs to other CTD and NU offices and personnel who support these processes, such as the business and finance office, technical support teams, facilities management, residential life, food services, and others, and any third-party providers outside NU.
Recruiting and admissions: Supports the work of the admissions and advising team to recruit students, including providing information pertinent to the application review and admissions process, ensuring program meets enrollment goals. Provides focused advising to students and their families on pathways, courses, program options, and scheduling, as needed and/or as requested through the admissions and advising team. Works to create and maintain an inclusive, supportive, and welcoming environment for students and families of all backgrounds and needs.
Outreach Promotion / Student and Family Information and Experience
Works with CTD's marketing and outreach staff to develop promotional pieces, including both print and digital materials. Provides direct input to admissions and advising personnel to ensure that team consistently has and provides accurate information about programs and pathways to students and their families. Promotes the program and the Center through outreach and development efforts, with a focus on creating a diverse and inclusive community. Participates in outreach planning and activities which may include manning booths at conferences and fairs, identifying topics and speakers for parent education, and giving presentations.
Directs the provision of customer support and maintains good relations with all people and groups associated with the program and the Center assuring a welcoming environment for families, visitors, and community partners. Responds in a timely and professional manner to inquiries related to the program and the Center from internal and external sources. Is client-focused: understands the Center's and program's clients, and recognizes the value the client adds to accomplishing the goals of the Center and the program.
Program Development, Support, and Planning
Works with Center leadership team to design and implement innovative programs that further the mission of the Center, including existing and new programs. Understands and actively works to support and advance CTD's mission, goals, objectives, and vision.
Reporting & Analysis / Recordkeeping/Data Management Systems
Conducts analyses and generates reports to support projects in the Center. Uses available data and proposes new data collection methods strategies as needed. Makes recommendations to CTD leadership team based on reliable data, making critical assessments about trends and program needs. Examples of reports analyses include historical enrollment data, enrollment trends allowing for future enrollment projections, growth areas, problem diagnosis, etc.; thus assuring support for proposals for future program development or growth.
Manages recordkeeping for the program assuring accurate data are readily available. This includes student files, teacher evaluations, etc., and involves electronic databases, the web, and paper files. Contributes to the design and implementation of data management systems and tools.
Monitors revenue and expense, reconciling NU financial system reports with internal CTD systems recording enrollments and tuition, financial aid, etc. Adheres to all NU business and finance policies.
Proactively plans for and pursues learning and development opportunities to further own professional goals and maintain or increase subject matter expertise related to program administration or pathways curriculum development. This could include subject-specific learning, advancing knowledge of the modes of delivery, focused learning in gifted education, workplace skills development, or the pursuit of an advanced degree.
Performs other related duties as assigned.
Bachelor's degree or equivalent
3+ years work experience in an education setting or service agency; examples include schools, community service or outreach centers, psych or social services setting, or colleges/universities.
Demonstrated experience working with a clientele similar to CTD's: children, parents, teachers.
Minimum Competencies: (Skills, knowledge, and abilities.)
Attention to detail
Master's degree. Preferred fields of study, at undergraduate and graduate level, include education, psychology, and child and adolescent development.
Interest in gifted education: has demonstrated or expresses an interest in learning about the field, by reading, attending conferences, making presentations, etc.
Experience in curriculum development and instruction, including teaching. (Req'd in EX 06; Pref'd in EX 05).
