Procurement Services has an outstanding opportunity for a Program Operations Specialist (E S 8)/Learning Specialist. This position supports efficient and compliant use of UW procurement and financial systems by providing easy access for users to system information, facilitating learning and influencing process and software design and implementation. Reporting to the manager of Procurement Customer Service (PCS), with training duties directed by the Procurement Services Operations Director, this position is part of a team committed to continuous process improvement utilizing Lean principles and tools.
The Learning Specialist supports efficient and compliant use of UW procurement and financial systems by providing easy access for users to system information, facilitating learning and influencing process and software design and implementation.
Reporting to the manager of Procurement Customer Service (PCS), with training duties directed by the Procurement Services Operations Director, this position is part of a team committed to continuous process improvement utilizing Lean principles and tools.
Manage user adoption of procurement systems through excellent customer service:
Communicate features of procurement systems in written and oral formats across multiple delivery methods such as email, phone and web-based content or training materials.
Respond to technical and general inquiries.
Maintain an extensive working knowledge of various UW financial and procurement systems and act as subject matter expert, including new functionality or enhancements.
Make recommendations for system improvements/corrections to supervisor, project management teams and system developers to resolve departmental challenges to adoption of new systems, policies or procedures.
Collaborate with project managers, business analysts, software developers, campus user test groups and teammates in designing new system functionality, defining new business rules and participating in new system implementation planning. Contribute input and recommendations based on feedback obtained from end users.
Design effective tests, identify test participants, facilitate tests, collate test results,analyze the results.
Communicate with subject matter experts to identify what different audiences (including departmental staff, campus users and suppliers) need to know for the rollout of new functionality or enhancements to existing systems.
Design, create and edit instructional materials and supporting documentation:
Design instructional materials and learning programs based on outreach feedback and campus needs.
Develop instructional materials for a variety of media.
Edit existing instructional materials and procedural documentation.
Provide quality assurance for all instructional materials.
Assist with departmental and team cross training as well as onboarding and training for new team members.
Lead process improvement projects utilizing Lean methodology and tools
Independently identify and become familiar with current technologies for creating instructional materials.
Plan, coordinate and facilitate classes for clients on campus and in other business units:
Determine training needs for groups and for individual users. Create and implement training plans to address both group and individual needs.
Participate in planning of large scale training deployments.
Facilitate instructor-led classes.
Lead webinars for remote learning.
Utilize customer inquiries and feedback data to coordinate departmental outreach opportunities. Perform follow-up outreach to assess change management effectiveness.
Advertise and promote classes and other learning opportunities using a variety of mechanisms to ensure that all campus locations are informed.
Maintain web content:
Update the website with new class listings and learning offerings.
Build out the website as new learning opportunities are offered, collaborating with others on team in making design decisions regarding placement of new content and revision of existing content.

REQUIREMENTS: Bachelor's degree and minimum two years experience successfully facilitating instructor-led classes. Demonstrated success providing customer support for financial and/or procurement systems. Experience leading small project teams. Proven oral and written communication skills.
DESIRED: Experience working with UW financial and procurement systems. Proven success facilitating web-based or webinar format training. Experience using content management systems such as Drupal.
CONDITIONS OF EMPLOYMENT: May require occasional travel to other campus locations to deliver training.
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
