GENERAL STATEMENT OF DUTIES: The Accountant I is responsible for various bank and general ledger reconciliations; analyzing, reconciling, and entering data for non-appropriated University funds; creating and entering various journal entries for interest, payroll, budget, investment transactions and / or other adjustments; overseeing the receiving of all payments made to the University from University Departments and external sources; record, reconcile, and assist in reporting on sources of non-federal financial aid; performing petty cash counts and examining department controls and processes; assisting in quarterly and fiscal year closing, auditing and budgeting processes; creating financial reports using Microsoft Excel and the Argos reporting software.
Incumbents of positions at this level receive direct supervision from Accountants or other employees of higher grade who provide instruction, assign work, and review performance through conferences and reports for effectiveness and conformance to laws, rules and regulations. Incumbents must exercise some independent judgment.
Incumbents of positions at this level may exercise functional supervision (i.e., over certain but not all work activities, or over some or all work activities on a temporary basis) over 1 - 5 technical and/or clerical personnel.
EXAMPLES OF SPECIFIC DUTIES & RESPONSIBILITIES:
Perform various bank and general ledger reconciliations and related journal entries for multiple accounts
Record, monitor, and reconcile Financial Aid cashiering sessions and transactions and the related bank account. Reconcile related general ledger accounts and maintain Presidents Scholarship, Perkins Loan accounts, state & federal financial aid summaries.
Provide controls and create and enter appropriate journal entries for cash and check deposits into the Ellucian Higher Education Banner administrative software.
Analyze, complete and enter data into MMARS (State Accounting System) for all non appropriated University funds on a monthly basis. Analyze and record Receipt of Trust (RT), Trust Voucher (TV), and changes in receivable balances in MMARS and assist in the reconciliation of MMARS to Banner balances.
Enter accounting adjustments, fund transfers and department charge backs (postage, supplies, etc.).
Prepare, review and enter various miscellaneous journal entries into the Ellucian Higher Education Banner administrative software.
Balance daily Touchnet Payments to the Banner System
Perform petty cash counts and examine University department controls and processes.
Write up deposit slips and perform bank transactions such as cash deposits, petty cash replenishments, and other bank transactions as required at the university's local bank branch.
Place stop payments on University checks with the bank as well as the Banner system.
Perform the process of clearing the University checks in the Banner System.
Communicate with the bank for stop payments and other transactions.
Analyze Advancement cashiering sessions and enter adjustment entries in the system as necessary.
Analyze and post monthly transactions from several investment statements.
Communicate with and assist University departments through email and telephone in accounting, budgeting and other financial matters.
Create financial reports for management using Microsoft Excel and the Argos reporting software; coordinate and / or scan documents using the Banner Xtender module.
Assist in monthly and fiscal year-end closing processes and compile information needed for audits.
Recommend and implement the usage of workflows to aid in the financial process.
Attend trainings as required.
Assist in all areas of the Business Office as needed; Perform special projects and other duties as assigned.
Assist in the implementation of new technologies to improve administrative processes; assist in the drafting, revising, improving, documenting, and implementation of policies, procedures, and internal control processes. Review accounting procedures, reports, etc. for accuracy, update, and corrections and for recommending changes or improvements in university accounting procedures or operations.
Reliable and consistent attendance and punctuality are expected for this position. Additional night and / or weekend hours may be required during peak periods.
Applicants must have at least (A) one year of full-time, or equivalent part-time, professional experience in accounting or auditing, or (B) two years of full-time, or equivalent part-time, paraprofessional experience in accounting or auditing, or (C) any equivalent combination of the required (A) experience and the substitutions below.
I. An Associate's or higher degree with a major in accounting, business administration or business management may be substituted for the required (A) experience.*
II. Successfully completed education in accounting or business administration in a recognized business school or school of accounting may be substituted for the required (A) experience on the basis of one year of such education above the high school level or six (6) months of the required (A) experience.*
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: No substitution will be permitted for the required (B) experience.
1. Minimum of three years of experience in the accounting/finance area.
2. Strong computer skills including Microsoft Excel, Word and Outlook.
3. Completed Bachelor's degree in Accounting, Business Administration, or related field at the time of hire.
4. Knowledge of and experience in the finance module of the Ellucian Higher Education Banner administrative software system.
5. Knowledge of and experience in accounting/finance sector of higher education.
6. Knowledge of Argos or similar reporting software.
7. Knowledge of and experience with MMARS.
8. Ability to think and work independently and in a team setting, to be detail oriented, meet deadlines and willing to learn new computer applications.
9. Excellent analytical, data entry, organizational, and oral and written communication skills.
10. Knowledge of basic accounting and budgeting.
11. Ability to work effectively and professionally with faculty, staff and vendors.
This is a full-time, non-exempt, benefits-eligible position in the AFSCME bargaining unit. The bi-weekly salary is $1608.86.
