NATURE OF WORK: Under the general direction of the Director of Student and Alumni Services, the Office Assistant II is responsible for greeting students, parents, and all other visitors to the Office of the Dean. This individual will notify office staff and administrators that their appointment has arrived. This individual is responsible for answering the main telephone line (x6652), will field phone calls and take messages when appropriate.
ILLUSTRATIVE EXAMPLES OF WORK: 1. Manage reception area of the Dean's Office 2. Distribute Mail 3. Troubleshoot and maintain office/classroom computers 4. Order office supplies 5. Maintain display case on second floor with faculty scholarship 6. Update Directory on first, second and fourth floors as necessary 7. Organize and maintain bulletin boards in the Rangos building 8. Order paper supply for Dean's Office, 1st and 2nd floor copiers 9. Schedule Health Sciences use of Rooms 212 and 323 10. Maintain printers, copier and fax machine in the Dean's and student computer lab 11. Make Deliveries as needed 12. Assist with special projects in the Dean's Office 13. Provide administrative support to the Student and Alumni Services area and Business Manager
o Assist with Mailings
14. Maintain binder of RSHS Master Catalog File Forms 15. Input course data into the RSHS calendar for Room 323 16. Maintain electronic copies of course syllabi (each semester) for Department and University core classes 17. Assign student lockers 18. Do all scanning associated with BDM 19. Coordinate/Track peer evaluations for tenured and non-tenured faculty members 20. Compile donor report for the Business Manager 21. Assist Business Manager with P-card purchases and reconciliation 22. Create all new student folders 23. Coordinate rooms, set-up and refreshments for DuqFest, Fall Open House and Accepted Student Open House 24. Provide administrative support for the HMS department faculty both full time and adjunct faculty
o Copy tests
o Book orders through Barnes and Noble
o Order office supplies
o Compliance for preclinical health requirements
o Proctor exams as needed
25. Perform additional duties/assignments/requests as assigned
REQUIREMENTS OF WORK: The successful candidate will have earned an Associate's degree with coursework in business administration, secretarial science, or a related field from an accredited institution and have considerable experience working in an office setting or any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following: proficiency with PC's and the Microsoft Office Suite, specifically Access; ability to interact with students; considerable knowledge of business English, spelling, punctuation, and possession of an excellent vocabulary; ability to work independently on responsible and confidential assignments; ability to maintain complex administrative, student, and academic records; experience working with budgets or the ability to learn; and the ability to establish and maintain effective working relationships with the University Community; and sensitivity to the need of each individual to be treated with dignity and respect as it relates to diversity in general and the Mission of the University specifically.
