The College of Arts, Sciences, and Letters is seeking an Administrative Assistant Intermediate staff member to support College-Wide Programs. The Administrative Assistant Intermediate position provides first level support for administrative, financial, and human resources functions within College-Wide Programs including:
Maintain calendars, schedule appointments and meetings.
Provides phone coverage for office phone lines and provide back-up phone coverage for other offices as needed.
Assist in management of event logistics (e.g., room scheduling, equipment, vendor relationships, catering, invitations, RSVP’s, other communications).
Assist in management of meeting logistics (e.g., preparation of agenda items, minute taking, documentation and tracking of follow-up activities as necessary).
Draft, edit and format complex communications, documents and reports using Word, Excel and PowerPoint as well as an ability to compose and edit work products with limited supervision and guidance.
Provide first level support for Program Directors and faculty within College-Wide Programs.
Assist with course scheduling.
Assist with travel coordination, hosting arrangements, itinerary preparation, and travel expense reimbursements for faculty, students, and guests.
Conduct purchasing and procurement functions and process various payments.
Perform P-card reconciliation or receiving functions.
Assist with CWP budget and reconciliation of accounts, as needed.
Various office duties including ordering/maintaining office supplies, filing of electronic and hard copy documents, creating and maintaining electronic and hard copy filing system as needed, all in confidential, organized manner. Other duties in support of the University mission as assigned.
At least two to four (2-4) years of related administrative experience.
Proficiency with Microsoft Office including Excel and Word, Google Calendar and Email.
Excellent written and verbal communication skills.
Ability to excel in managing multiple tasks and competing priorities in a dynamic environment.
Work under general supervision.
Positive, can do attitude.
Demonstrated ability to work effectively during a period of institutional change.
Unimpeachable level of confidentiality, integrity and professional/ethical conduct.
Demonstrated ability to work effectively and respectfully with staff, faculty and students from diverse backgrounds.
Strong attendance record and be able to work 40 hours per week, including some evenings for special events as needed.
Associate's Degree or higher.
At least two (2) years of higher education administrative experience.
One (1) year of events planning experience including handling the logistics for small scale to large scale (50+ participants) events.
High level of proficiency in Microsoft: Word, Excel, PowerPoint, Access and Google:
Sheets, Forms, and Docs.
Agenda setting and minute taking.
Familiarity with Promotion and Tenure process.
Functional supervision of student employees.
Knowledge of University of Michigan policies and procedures
Experience using M-Pathways, Concur, Banner, Marketsite, purchase cards (P-Card) and M+Box
