Provides support and coordination of administrative components of Community Education and the English Language Programs by assisting the director, academic coordinator and the greater university environment. Enhances the experiences for students, teachers, and staff members through the following:
Support existing procedures and policies and develop new operational systems that improve the functions of the English Language Programs (ELP).
Serve as a liaison between the ELP and the Office of International Education (OIE) by supporting collection of documents and communications between potential students and the OIE.
Work with director and staff, and coordinate as needed, registration and collection of tuition payments of students.
Provide front-line advising and triage for students seeking information about classes in the ELP and future university study.
Work with the academic coordinator to maintain class attendance records throughout the intensive, community evening, and community Saturday programs.
Initiate the documentation necessary for student achievement, evaluation, "au pair letters," and coordinate maintenance of these records with the academic coordinator and director.
Assist the director with reporting documents as needed.
Maintain student worker staff schedule and train student staff in operational procedures.
Provide logistical and security support for the Community Education Center according to procedures and policies.
Provide logistical and administrative support for teachers through email and verbal communications.
Assist with coordination of student assessments, testing, information sessions and student placements, as needed.
Maintain files, spread sheets, and records as assigned.
Coordinate with university system operations for functioning equipment in ELP offices and classrooms.
Assist with TOEFL exam administration each semester:Maintain contacts with ETS, test-ordering and follow-up documentation.
Maintain a supply order system for the program.
Provide general assistance with document preparation (course schedules, price sheets, and similar documents).
Help coordinate program events and marketing activities as needed.
Provide assistance or coordination of additional similar functions of Community Education and English Language Programs as assigned.
Assist with updating website and social media information to communicate effectively with students and the public.
Perform other related duties as needed.
Strong interpersonal communication skills in a multi-cultural environment with non-native English Speakers and university personnel.
Strong organizational skills; detail-oriented; able to set-up and maintain a record-keeping system and handle multiple tasks at one time.
Experience with Microsoft Office, Outlook, Excel, and data entry.
Ability to problem-solve general technical equipment issues and make the necessary connections to appropriate help when needed.
Knowledge of or ability to learn how to input information into web pages.
Ability to communicate effectively in writing and speaking in English.
This is a part-time, non-benefited position, not to exceed 18 hours/week. The hourly rate is $25/hour.
