Reporting to the Associate Vice President for Wellness (AVP), the Manager for Wellness Operations will perform complex accounting, budget and human resource functions for the Student Health Center, Counseling & Psychological Services, Health Promotion, and Disabilities Services. The Manager will provide reporting and analysis to the AVP and Wellness leadership staff related to operating, capital, gift, endowment, special project, and various revenue streams and chargebacks. The position will perform complex cyclical, ad hoc, and time sensitive financial analysis, human resource headcount and salary research and reporting, as well as communicate RIT policies and procedures. The Manager will support annual budget processes, procurement activities, account adjustments, and prepare year-end financial projections. The role supports Human Resources functions from position creation to point of hire to termination for the various areas within Wellness. The incumbent in this role will supervise two support staff and provide guidance and functional oversight to operations staff and managers within the Wellness centers.
Detailed Job Description
Track operating, capital, gift and discretionary account spending and research variances.
Prepare, analyze and present monthly financial information to AVP, highlighting relevant financial issues and trends. Prepare salary reconciliations each month. Prepare year-end financial projections. Review and propose resolution on open encumbrances. Resolve deficits on projects. Track open position pool (FTE’s and dollars). Reconcile financial reports monthly. Reconcile procurement statements. Ensure payments to vendors are timely.
Coordinate annual operating budget for all offices under the AVP to include detailed budget preparation, salary planning, capital planning, budget reallocations. Prepare for and direct budget reviews with departmental and divisional leadership.
Monitor capital spending to ensure funding availability and timely payment, determine correct general ledger account for capital expenditures, confirm that fixed assets are tagged on a timely basis and that Property Management is informed of location changes, disposition of equipment, etc., coordinate the annual fixed asset inventory.
Supervise all office operations, workflow, and staff schedules including the direct supervision of Wellness senior staff specialist and CAPS senior staff assistant.
Perform human resources support for all new hires, terminations and current employees including perform on-line hiring, work with HR and Payroll to resolve discrepancies, track status of annual conflict of interest certification, ensure required background checks are obtained, provide guidance to new hires on I9 requirements. Model the financial impact of various wage and benefit scenarios.
Provide guidance and oversight to senior financial assistant, Center for Recreational Sports and Administrative Specialist, Student Health Center on financial processes and financial issues that arise.
Complete special projects and duties as assigned by the AVP
Develop and implement continuous improvement plan for administrative and operational processes for office operations, polices, and procedures.
Attend staff meetings and other meetings as required
Uses confidential, sensitive and/or private records and information, protects information appropriately
Participate in ongoing professional development appropriate to the position and jointly identified by the employee and supervisor and/or participate on department, division and university committees, task forces and projects as assigned
Required Minimum Qualifications
Three-Five years related experience Bachelor's degree in Accounting, Business. Equivalent experience will be considered.
Strong analytical skills and attention to detail
Ability to set priorities, manage high volume complex tasks/demands simultaneously, work independently
Maintain confidentiality and understanding of HIPPA regulations
Proficiency using computerized financial and/or human resources enterprise systems, word processing, spreadsheet, email, and electronic calendaring software
Experience using technology and systems to support administrative, operation and program functions
Attention to details and accuracy of information processed
Effective interpersonal skills and the ability and willingness to contribute to a team-oriented work environment
Understanding of and compliance with, the ethical and legal issues involved in the provision of clinical services and the storage of confidential medical records
Excellent analytical, problem solving and troubleshooting skills
Proven ability in building relationships with a broad range of constituencies
