Founded in 1780, the American Academy of Arts and Sciences is an honorary society and independent policy research center that conducts multidisciplinary studies of complex and emerging problems. The American Academy seeks an Operations Assistant, a position that is important in ensuring the Academy is presented professionally, and provides organization, coordination and support in delivering excellent service to the fellows and general public.
The Operations Assistant’s responsibilities include the following:
General Office Coordination including coordinating mail and shipping, maintaining inventory of office supplies, and reception coverage during breaks.
Support the Finance Department with dues processing, cash receipts, and filing.
Support the Membership Information & Elections Office by scheduling membership conference calls, processing new member nominations, and proofreading nomination and election materials.
Support the Human resources department by assisting with recruitment.
Prepare materials for meetings and events including participant lists, name tags and other meeting information.
General administrative support to the finance, human resources, membership information & elections, events department, and the COO. This may include copying, collating, and filing.
The ideal candidate will have:
Associate’s degree required plus 2-3 years’ experience working in an office environment.
Very high attention to detail, a strong work ethic, curiosity and problem-solving skills.
Strong administrative and organizational skills, with an emphasis on time management and the ability to plan, organize and implement various activities.
Excellent writing skills, basic proofreading and editing skills.
Ability to learn quickly, prioritize, and work accurately and proactively with little supervision.
Strong computer skills, particularly Microsoft Office and Excel (including functions such as mail merge), Adobe Acrobat, database applications, and basic internet searches are essential.
Proficiency in database querying, Microsoft Office (Excel, Access, PowerPoint, Word), Adobe Acrobat, various document processing and database applications, and basic internet searches.
Excellent interpersonal skills and flexibility. Strong customer service background.
Ability to work both independently and as part of a team.
