Under direction of the Program Managers, primary responsibility is to coordinate daily administrative logistics for education unit, including but not limited to, managing staff and program calendars/schedules; preparing and reviewing monthly program schedule, financial and participation reports; managing inventory and purchasing of unit supplies and equipment; coordinating timesheet reporting for (BYA) instructors; and serving as direct contact for internal and external customer inquiries, deliveries, and equipment repairs.
Duties also include supporting Program Managers in the coordination and implementation of unit's clerical needs; preparing program supplies/materials; maintaining office equipment; and assisting with the maintenance of Education web pages. In addition, serve as Unit representative by sharing updates/information as needed and directed by Program Managers.
Schedule is Sunday through Thursday and may be flexed to accommodate holidays and/or special events, as needed.
Two or more (2+) years experience providing administrative support and coordination in an educational or customer service-based office environment, including daily operations, schedules, data management, and customer service.
College level knowledge in management, business, or other related fields; OR equivalent education and work experience providing administrative coordination for a dynamic customer service-based office environment.
Demonstrated proficiency with basic math computations and accuracy in recording and reporting numerical data.
Proven ability to prepare, organize and access detailed reports, including analyzing data, generating updates and interpreting information
Established cultural competency, such as working effectively with and providing support to customers/peers of diverse ages, ethnicities, and cultural and educational backgrounds.
Motivation, ability, and willingness to take initiative and work with a high-level of accountability to reliably meet deadlines, and work effectively and collaboratively as part of a team.
Experience with MAC computer and Microsoft Office (and other) software for word-processing, database and spreadsheet management to design forms and reports.
Experience with recommending actions to resolve discrepancies in programming, scheduling, and office administration.
Proven knowledge of development tactics to increase support for the organization through sponsorship and donations.
Demonstrated ability to organize and prioritize work to meet deadlines, and manage multiple projects with accuracy and efficiency.
Demonstrated ability to make sound judgments and decisions, and function in a high-energy environment.
