<p>As Minnesota's state natural history museum, the Bell Museum’s mission is to ignite curiosity and wonder, explore our connections to nature and the universe, and create a better future for our evolving world. The Volunteer and Student Employee Coordinator supports this mission by facilitating rewarding opportunities for individuals to become involved in the educational and scientific work of the museum, both as student employees and volunteers. The coordinator assures that quality standards of volunteer and student recruitment, training and support are applied throughout both the public museum and the scientific collections. Areas of responsibility include volunteer recruitment and administration, human resources support for student employee hiring and general volunteer/student employee orientation and training.<br /><br />Job Duties and Responsibilities<br /><br /><u>Volunteer Recruitment, Retention and Program Coordination - 50%</u><br />• Develop and manage volunteer policies and procedures and document that all volunteers are in compliance with current policies and procedures<br />• Work with museum and curatorial staff regularly to assess needs for volunteer assistance and develop volunteer position descriptions<br />• Serve as primary contact for prospective volunteers: recruiting, interviewing and placing applicants for volunteer work in both the museum and scientific collections<br />• Promote a wide range of volunteer opportunities and host/attend recruiting events within the community to attract a diverse pool of qualified candidates<br />• Foster a welcoming and inclusive environment that encourages engagement of people of all backgrounds and ability levels<br />• Schedule all volunteers for centrally managed positions and assign volunteers to a staff supervisor for specialized positions<br />• Manage Museum Associate program in cooperation with Scientific Director and curators<br />• Design and manage a volunteer recognition program including an annual recognition event<br />• Provide ongoing support, feedback, and guidance for volunteers<br />• Maintain accurate records and provide reports on volunteer engagement<br />• Evaluate all aspects of volunteer programs to ensure effectiveness and recommend changes as appropriate<br /><br /><br /><u>Undergraduate Employee Administration - 30%</u><br />• Serve as primary manager for human resource process for Bell undergraduate student employees, working in coordination with CFANS HR and Payroll departments<br />• In cooperation with supervisors, develop new position descriptions for all undergraduate employee positions<br />• Manage HR processes for undergraduate employees, including position approvals, job postings, hirings, and terminations<br />• Work with student supervisors to create promotion plans for undergraduate positions in museum and scientific collections<br /><br /><u>Student Employee and Volunteer Training - 15%</u><br />• Conduct and/or arrange for volunteer and new student employee general orientation and training<br />• Provide periodic and comprehensive training on emergency procedures and evacuation for student staff and volunteers<br />• Work with Diversity and Inclusion Committee to provide ongoing trainings on diversity, equity and inclusion, ensuring that volunteers and student employees represent the Bell’s commitment to providing an inclusive experience for all visitors<br /><br /><u>Volunteer Event Support - 5%</u><br />• Serve as a volunteer supervisor and manager during museum/festival planetarium festivals, coordinating check-in, security and access for volunteers at 1-2 weekend and/or evening festival events per year<br /> </p>
<div><u>Essential Qualifications/Knowledge/Skills/Abilities:</u><br />• BA/BS degree or a combination of related education and work experience to equal 4 years.<br />• Some experience coordinating volunteers, including recruitment, training and retention.</div><div>• Experience with Microsoft Office suite.<br />• Proven effective, appropriate and welcoming communication skills on multiple levels including: person-to-person, on the phone, via email and presentations to groups.<br />• Demonstrated commitment to inclusive practices and equity.<br />• Ability to work collaboratively with others to address and resolve problems.<br />• Proven ability to multi-task, prioritize and manage work.<br /><br /><br /><u>Preferred Qualifications:</u></div><div>• A minimum of 2 years’ experience coordinating volunteers, including recruitment, training and retention.<br />• Experience working with PeopleSoft or other HR systems.<br />• Previous experience working in museum, nature center, or similar cultural organization with a volunteer program.<br />• Ability to work in a changing environment while remaining positive, proactive, resourceful and efficient.</div>
