The External Affairs Assistant provides administrative, clerical and project management support for the External Affairs Department. Key responsibilities include oversight and management of The Raiser’s Edge database and assisting with donor relations, events and other department projects and initiatives. The External Affairs Assistant is a primary liaison between the Chief External Affairs Officer and external/internal stakeholders. Strong candidates will thrive in a fast-paced nonprofit environment.
Maintain donor records in The Raiser’s Edge database and other tracking systems.
Manage gift entry and donor acknowledgement and provide administrative assistance in the donor cultivation and stewardship process.
Create donor profiles for stakeholder meetings and/or new prospective donors.
Generate mailing lists and reports to support fundraising and analysis of donor trends through the annual fund, events, and other fundraising initiatives.
Assist in analyzing information about giving/solicitation trends on a quarterly and annual basis.
Support special events functions, including revenue tracking, silent auction tracking, guest list management, and volunteer management. Attend all major fundraising events.
Develop and maintain a Raiser’s Edge user handbook and policy and practices guide for the External Affairs Department.
Perform regular gift, expense and other financial reconciliation with the accounting department.
Schedule meetings and attend and take minutes, as needed/assigned.
Manage and maintain the Chief External Affairs Officer’s schedule, and assist in managing the communication flow between the Chief External Affairs Officer, staff and external stakeholders.
Provide administrative support for the Chief External Affairs Officer and External Affairs Department activities, as needed.
Actively participate in department activities and assist in creating and implementing the External Affairs Department’s annual plan, including strategies, tactics and metrics to meet overall goals.
Perform other duties as assigned by Chief External Affairs Officer.
A Bachelor’s degree is required. Experience in administrative support, project management and nonprofit administration and/or fundraising is preferred. Highly organized and detail oriented with the ability to meet deadlines in a fast-paced environment is essential. Proficiency in Microsoft Office is required. Experience in using The Raiser’s Edge or other donor management databases is preferred.
