Responsibilities Including but not limited to: Budget Management Set up budget management system and records for current and future year(s) Reconcile accounts monthly and coordinates monthly budget review meetings with supervisor and assistant dean Handle all budget entries and inquiries Handle student payments for activities such as bus trips, career events and other Work with Simon Budget Office and other administrators on setting up shopping carts for events involving payments from students Handle travel reimbursement for all professionals in the office Handle invoices for supplies, products and services ordered Recommend changes for and develop standard operating procedures and project plans for all major budget-related activities and projects Office Management Responsible for all office and administrative tasks to assist the office in running smoothly and providing exceptional customer service to students, recruiters, visitors and others Set up and execute standard operating procedures for all regular administrative activities such as calendaring, event planning, project plans, Develop and enhance standard operating procedures and project plans for all administrative activities such as calendaring, payroll, vacation time, desk and phone coverage, dealing with vendors, etc. Support all hiring, selection, and onboarding activities for staff and student career advisors Provide assistance for student career and corporate recruiting events in-house and externally as needed Arrange coverage for office, provide notification when staff will be away; manage calendars so coverage is available at all times Order supplies and maintain processes that ensure staff are adhering to budget policies for same Conduct training sessions for the team and Simon Career Advisors (SCAs) as needed Support for ongoing office activities in key administrative areas such as data, technology, event planning, vendor relations, job postings, supplies and career resources, web site inquiries, reports and other Other Make recommendations for CMC improvements as appropriate Assist office with instilling a strong customer focus Other duties and projects as assigned Qualifications: 2 years of post-high school education in secretarial studies or the equivalent; Bachelorâ™s degree preferred. At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.
