Posting Summary: The Administrative Coordinator assists the Assistant Director of University Annual Giving-Phonathon in the daily operation of the UVA student call center. This position is responsible for executing daily and weekly reports delivered to Phonathon clients and associates, and serves as the primary liaison to Gift Processing Services. The position will supervise a Student Assistant in performing duties that include the fulfillment of daily pledge letters and emails, with other duties as assigned. The Administrative Coordinator also communicates with donors, alumni, and other UVA constituents, all while representing the University in a professional manner. The incumbent also assists the Assistant Director for Phonathon and Director for University Annual Giving in managing operational expenses, revenues and budgets. The Administrative Coordinator will onboard all new student employees, including I-9 processes, and ensure that all documentation is correctly submitted to UA-HR in a timely manner. The Associate will also manage employee files and communicate changes in employee standing with UA-HR.
Required Minimum Level of Education: High School Diploma or Equivalent Required
Preferred Minimum Level of Education: Bachelor's Degree
Required Minimum Level of Experience: Some - up to 4 years
Required Specific Experience: A minimum of one year of related experience, as well as experience handling multiple tasks successfully in a professional office environment.
Required Knowledge, Skills and Abilities: Demonstrate excellent organizational skills, with high attention to detail. Working knowledge of project management, fundraising, and vendor relations.
Intermediate expertise with Microsoft Office applications; ability to enter, retrieve and research data in donor database.
Demonstrate excellent oral and written communication; strong customer service and follow-through skills.
Ability to handle confidential information in a discreet, professional manner.
Proven ability to manage projects independently, from inception through implementation.
Ability to work independently in a satellite office as well as part of a team.
